This position does require you to work in office 5 days a week.

Description:

This position within Office Services p rovides site leadership and manages site hospitality services (e.g., reception, visitor coordination, meeting, and catering support etc.) and operations (facilities maintenance, moves, health and safety, physical security etc.) while working under minimal direction. Office Services mission is to provide business driven support to our site that is cost-effective, innovative, flexible, and responsive to change. Office Services Associates are stewards of Capital Group’s physical environment and providers of premium support services to Capital’s business units, core values, and culture.

Responsibilities & functions are many, varied, and may include:

Client Experience: Daily operational support for the site, which includes reception coverage, visitor services, meeting setups, Break room maintenance and supply management, office supply management, shipping & receiving and timely responsiveness to customer requests to ensure that all associates and visitors receive an exceptional client experience. This may include setup of equipment for associates or meetings, as necessary.May include client support for Senior associates and visitors as needed to support business units. Vendor oversight & facilities management:  Develops initial contractual agreements, reviews, analyzes and negotiates contract changes with both internal associates and external vendors, while recognizing budget, costs, and scope. Directs and manages vendor relationship providing leadership in ensuring agreed service levels are attained, and providing feedback to vendors while recognizing budget, costs, and scope. Including coordination of preventative maintenance visits, work order management, and COI maintenance. Minimizes risks and resolves issues.Analyzes alternatives, makes recommendations where appropriate, and/or responds with appropriate action.Establishes and manages all aspects of the related budget(s)Makes recommendations to manager concerning contract elements, while staying consistent with strategic business objectives.Develops, maintains, and coordinates vendor relationships with minimal direction from manager.Identifies service requirements, research alternatives, recommends services or products for procurement and may process requisitions.Reviews invoices, verifies work completed, and services or goods provided. Develops and maintains effective professional relationships with key internal customers, business units and colleagues within their local site and cross-site. Operational support: Including supply ordering, mailroom management/organization, invoice reconciliation, support to our Safety programs including training in AED, CPR, First Aid and Ergonomics.First point of contact for emergency response and support, for both event and crisis response; responsible for making decisions in the moment to keep others safe and reduce risk to Capital and the business. May actively participate in and/or lead various projects with significant impact to associate engagement and/or fulfilling business needs.Stays current with industry trends and understands how external factors may impact our business. Builds relationships and works collaboratively with cross-site with other Office Services Subject Matter Experts in assigned areas. Meetings & Events support: Main point of liaison with event and meetings specialists, meetings team, catering contractor, AV engineering and key stakeholders to ensure best in class execution of all onsite meetings and events. Client Satisfaction & Conflict Resolution : Develop and maintain professional relationships with internal and external clients to monitor client feedback and satisfaction levels, proactively addressing any concerns or issues to maintain high levels of client satisfaction. Proactively engages with key internal customers to develop constructive relationships.Carries a general knowledge of Capital’s business departments and goals; detailed knowledge of business units and their needs within their specific site(s).Proactively identifies, analyzes, and resolves business issues with minimal input and direction from manager.Develops alternatives and implements new processes.Monitors progress after resolution and adjusts as needed.Handle client complaints and conflicts professionally, seeking prompt resolution and escalate when necessary.Considers various points of view, encourages others to identify concerns, analyzes alternatives and recommends solutions.Asks clarifying questions to better understand different perspectives.Analyzes alternatives to provide a thoughtful and complete recommendation.Able to articulate compelling business cases and rationale behind recommended solutions.Escalates significant concerns and/or trends appropriately. Facilitates meetings and discussions.Handle client complaints and conflicts professionally, seeking prompt resolution and escalate when necessary.Performs additional responsibilities as assigned.

Qualifications:

You are an experienced customer-centric front of house/hospitality/concierge professional with excellent communication and interpersonal skills. You have the ability to work at both strategic and operation levels with attention to detail. You can bring innovation and creativity to deliver best in class client experience.  You can demonstrate the ability to coordinate work among external third parties and internal functions. You can demonstrate an initiative by identifying issues and recommending innovative solutions. You can demonstrate sound judgment in resolving matters of moderate complexity. You can demonstrate the ability to collaborate and develop/maintain working relationships inside and outside Capital Group for effective completion of business objectives. You can demonstrate the ability to lead projects autonomously.

Technical Skills:

You have strong computer skills. Microsoft Office proficiency required.  Experience with PowerBI is preferred but not required.
