Canadian Credit Union Association (CCUA) is the national trade association for the Canadian credit union industry. Canada's credit unions are vital competitors in the financial services industry.

As the national voice and national forum for Canada's credit union, CCUA actively leads and participates in initiatives to build successful, competitive, and growing credit unions in Canada. Our team of experts are called on to provide support to our members through strong advocacy, expert research and the provision of value-add services.

To achieve this, we hire talented and driven people interested in working in a dynamic part of the financial services industry in Canada. We are currently hiring for a Coordinator, Policy, Advocacy & Compliance.

Under the oversight of the Director, Legal, Policy & Compliance, the incumbent acts as department coordinator for the policy, advocacy and compliance teams and is responsible for providing departmental coordination and administrative support for their various operations, strategic and project related activities.

Key Responsibilities

1. Administrative Support
Provide administrative and operational support to the policy, advocacy and compliance teams.
- Schedule team calls
- Coordinate bi-weekly GR & Policy updates
- Coordinate Corporate Report/KPI updates for the team
- Maintain departmental records, including library of consultations and submissions
- Maintain calendar of webinars, meetings and consultation deadlines
- Maintain CCUA’s federal lobbyist registry
- Support and assist with organizing, promotion and coordinating Policy/Advocacy/Compliance events, including the annual federal forum and Hike the Hill advocacy event in Ottawa. Assist with the development and creation of collateral material
- Assist with webpage updates, as needed
- Provide administrative support, as needed
- Coordinate travel, accommodation requests and other related arrangements (such as ordering food and refreshments for events), as needed

2. Committee Support
Provide administrative and operational support to the policy, advocacy and compliance committees
- Schedule meetings
- Agenda preparation and meeting notes
- Assist with the coordination of guest presenters including ensuring they are prepared to present with any meeting material
- Communicate with committee members
- Set up and manage any necessary technology for committee meetings
- Organize communications to distribute to participants containing key information about the committee

3. Webinar Support
Administer the policy and compliance webinar series and communications to raise credit union awareness of policy and regulatory compliance priorities.
- Assist Manager, Policy, Manager, Community Impact & ESG, and Manager, Regulatory Policy & Compliance with webinar and communication topic ideas (brainstorming)
- Coordinate presenters
- Communicate with registrants
- Organize communications to distribute to participants containing key information about the webinar
- Prepare the attendance/survey reports
- Maintain resources on CCUA website regarding webinar series and topics

4. Manage Canadian Sanctions List
Compile and update monthly the Canadian sanctions list for use by credit unions in monitoring their compliance obligations
- Monitor relevant Canadian Sanctions legislation and lists for changes and update as needed
- Maintain lists of designated individuals and organizations
- Maintain an Inventory Table
- Respond to credit union queries

5. Ottawa Office - Facilities Management
Manage the oversight and coordination of facilities administration for the Ottawa office, including general maintenance requests for the suite (plumbing, locksmith, plants, housekeeping & photocopiers) ordering office & kitchen supplies as well as furniture & equipment, mail/couriers and postage.
- Oversee/Co-ordinate Ottawa office facilities systems including office supplies & equipment, mailing/courier, recycling, office furniture and kitchen supplies.
- Maintain facilities key contact list
- Enlist other staff in support of facilities management and delegate responsibilities as appropriate to ensure back-up support
- Coordinate shredding services when required
- Maintain master keys to the office/suite (all doors, desk drawers and filing cabinets)

Communication

**Internal**:

- Internal interactions are both within department, and cross-functionally with departments from across the organization.

**External**:

- Communications with credit unions, centrals and credit union sector partners on committee work, tools, updates, events, etc.
- Interacting with various vendors and suppliers
- Responding to general questions or inquiries by credit unions, exchanging information, explaining situations, and influencing others in matters of common interest relating to function specific needs.
