**Position Title**:
Receptionist

**Position Summary**:
The Receptionist serves as the first point of contact for visitors and callers, providing a welcoming and safe space. This role involves managing front desk operations, screening and referring participants internally, making effective external referrals to community service providers, and supporting various administrative tasks across multiple programs and for KCR overall.

**Reporting Structure**:
Reports to the Operations Manager

**Prime Functions**:
**_ Reception and Participant Support:_**
- Provide information on eligibility requirements and assist participants with completing intake forms
- Manage a well-organized and welcoming reception area
- Receive incoming deliveries, sign delivery slips, and direct them to appropriate departments
- Coordinate items for pick up

**_Administrative and Office Support:_**
- Open, date stamp, and distribute incoming mail; coordinate drop-off to postal outlets.
- Check and distribute fax messages
- Coordinate courier and express post services
- Arrange for front office coverage as required
- Coordinate the servicing and repairs of office equipment
- Order office supplies, janitorial supplies, and photocopier paper
- Coordinate interview and group room bookings
- Monitor and report photocopy account and machine totals
- Assist with Project coordination as requested

**Qualifications**:

- Completion of an Office Administration course or two years of experience as a receptionist or office assistant
- Strong knowledge of community resources and agencies, especially those serving at-risk or marginalized populations
- Excellent interpersonal, cross-cultural, written, and verbal communication skills with a strong customer service focus
- Empathetic listening skills and the ability to navigate difficult situations
- Organized with the ability to prioritize work, and multitask and think critically
- Adaptable and flexible to changing work demands
- Proficiency in MS Office (Word, Excel, Outlook) and basic accounting tasks
