Receptionist and Service Administrator

**Job Summary**:
The Receptionist and Service Administrator will serve as the primary point of contact for client inquiries and service requests. They will be responsible for receiving, logging, and prioritizing service requests, coordinating with service teams to ensure timely completion, and keeping clients informed about the status of their requests. Additionally, they will perform general administrative tasks to support the office and service operations.
**Duties and Responsibilities**:
- Receive, log, and prioritize service requests from clients; ensure prompt assignment to appropriate service teams and monitor progress to meet service-level agreements (SLAs).
- Serve as the main point of contact for client inquiries, providing timely and courteous responses, and keeping clients informed about the status of their service requests.
- Coordinate with the service manager on the completion of customer work orders, put together billing for work completed, and review time cards for service employees.
- Order office supplies and maintain inventory levels.
- Perform general administrative tasks, including making project folders/binders, filing, answering phones, sending packages, booking appointments, and keeping track of employees' in/out status.
- Handle photocopies, faxes, postage/mail sorting, and cheque pick-ups (with signing they received it).
- Manage guest sign-in/out procedures.
- Maintain kitchen tidiness, including a weekly clean-out on Fridays.
- Keep stock in bathrooms, kitchens, and the boardroom.
**Qualifications**:
- High school diploma or equivalent; post-secondary education in business administration or related field preferred.
- 1-2 years of experience in a receptionist or administrative role, preferably in a service-oriented environment.
- Strong communication skills, both written and verbal.
- Excellent organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite.
- Ability to multitask and prioritize workload effectively.
- Professional demeanor and customer service orientation.
- Ability to work independently and as part of a team.
