The role of the Admin Services Representative is to support the Management team by assisting with reports, data entry, and completing monthly CBD. The representative will also be in charge of vouchers, manager's expenses, supply orders, taking care of all floor support issues, and ensuring the Attendance awareness program excel workbook is updated amongst other related duties.
**Responsibilities**
- Timely entry of all off-phone exceptions (authorized segments on employees' segments sheets + late or early leave, etc.)
- Responsible for changing employees’ schedules according to approved overtime, personal days, and sick leave, when the operations manager is unavailable
- Reports (Login/logout reports for regular agents and Solutions/National account dept.; Agent Daily, weekly and Monthly Compliance; Filling Manager's report cards Monthly; Late lunch and break reports and all other reports) as requested by the manager
- SAP Time Management - Verification of all "clock in and out" by the agents + entry of appropriate code (late, early leave, vacations, personal days, etc.), schedule adjustments
- Taking photographs and ordering security cards for new and existing employees, as required
- Keep the Attendance awareness program (AAP) program Excel sheets updated with accurate information for the customer care department and Video coding
- Sorting vouchers for incoming bills; managers expenses refund; supplies order; union leave calculations and creating invoices.
- Keeping the 7-evacuation presence lists with schedules updated (minimum once a month or as soon as an employee changes schedule.)
- Work instructions translations with Visio and translation of other required documents.
- Preparing (about 30-40) meeting letters every 3 months for the managers
- Preparing physical folder of new employees for the managers.
- Reorganizing all electronic docs when an agent changes from one team to another (for example, the regular agent gets a position in A/R or Solutions dept)
- Scanning and archiving documents (ISO, vouchers, expenses, PO's and shopping carts, and others).
- Participating in the "Tackle the hunger" fundraise.
- Floor support when systems are down (pick up & fax manual pickups and comm. logs) - Ink cartridges recycling
- Other office-related assigned tasks
**Qualifications**
- Must be able to take immediate action by pursuing tasks with energy, drive, and a need to finish.
- Works effectively in a constantly changing/evolving environment.
- Reacts calmly and consistently under pressure or opposition.
- Technical and professional knowledge required to do the job; picks up on technical aspects or issues promptly
- Ability to learn new skills and acquire knowledge quickly.
- Minimum of 1-year experience
- Demonstrate efficient and effective use of time by setting priorities on critical issues
- Must be able to provide reports needed by managers, billing Union, vouchers, expenses
- Proficient in SAP data entry and reporting
- Sufficient knowledge of Microsoft office tools
- Ability to use the CCMA Extract login/logout reports daily and other reports to complete Managers report cards monthly.
