Currently, we have a part-time Resident Service Assistant position available to serve at our Shannon Oaks location in Oak Bay.

**Must Haves**
- Secondary school graduation
- Formal training in basic accounting and the use of Microsoft Word and Excel
- Completion of the Emergency First Aid-Community Care training with St.Johns Ambulance or equivalent
- A minimum of 3 years experience as a Resident Services Assistant or an equivalent combination of training and experience.
- Current Food Safe Certification (applicable for Overnight Resident Services Assistant only)

**About The Role**
- Provides reception and answers inquiries for residents and visitors both by telephone and in person
- Ensures agency, contractor and volunteer sign-in and sign-out.
- Completes general office duties, such as photocopying, faxing, preparing and distributing mail; filing; ordering office supplies; maintaining office equipment and collecting and rolling coins from laundry machines.
- Book guest suites and guest meals.
- Develop a variety of documents, such as letters, spreadsheets, reports, notices for residents, posters and menus.
- Records, produces and distributes meeting minutes.
- Facilitate the placement of new residents, including setting up new resident files and coordinating lockers, parking, and keys.
- Maintains a database and other confidential resident information in compliance with the applicable privacy legislation.
- Tracks tenancy changes, reports these to BC Housing and reconciles tenancy summaries sent from BC Housing.
- Complies daily lists and monthly censuses of resident and guest attendance at meals for both Baptist Housing and the hospitality provider for billing purposes.
- Tracks and invoices amounts owing from residents for rent and various incidentals such as housekeeping and meal charges, and responds to resident inquiries regarding these accounts.
- Collects amounts owing from residents and communicates with residents regarding overdue accounts.
- Balances and forwards reports to head office for resident rents and pre-authorized debits; processes accounts payable, assigns account codes, and forwards them to head office; Reconciles monthly revenues from service providers.
- Assists the administrator in the completion of annual resident rent subsidy reviews in accordance with BC Housing regulations.
- Creates quarterly invoices to allocate billable items, such as utilities, across the campus.
- Maintains and balances petty cash.
- Produces bank deposits and travels to the bank to make deposits and pick up and drop off Head Office mail.
- Responds to resident issues in the administrator's absence, resolving minor issues and referring major issues to the administrator's designate.
- Receives maintenance requests and communicates these to the maintenance team.
- Maintains resident earthquake kits.
- Assists the administrator with various projects as required.
- Maintains an effective communication log to ensure the transfer of necessary information between all resident services assistants.
- Participates in team meetings, relevant committees and resident events
