Provide oversight and management of the Supervised Access Program for both Kingston, Frontenac and Lennox, Addington court districts. Preforms a wide range of complex and confidential managerial and clerical duties for families requiring Supervised Access services. This program offers a safe, non-threatening, and neutral environment for families who are experiencing high conflict within their custody and access.

- **Program Coordination and Administration**
- Provide input to the Community and Family Services Director regarding the annual budget.
- Review and approve all observation notes, track concerns or issues and follow up accordingly.
- Oversee bookkeeping system of client accounts, invoices, and donations.
- Collaborate with lawyers, Judges, Probation/Parole, and CAS to ensure all relevant family documents are collected and placed into client master files.
- Assess all Court Orders, Probation/Parole, CAS and OCL documentation and put into family file for staff review.
- Prepare and administer safety and program plans for each site.
- Generate statistical records.
- Approve program purchases.
- Ensure maintenance of client records (hardcopy and database) and fee accounts
- Maintain log of archiving and destruction of files as per Ministry guidelines
- Complete observational reports when requested and invoice accordingly.
- Maintain ongoing correspondence with families and lawyers with formal letters.
- Ensure security clearance for all staff and volunteers.
- Review and approve Program Plans. Develop new policies and procedures following Salvation Army approval
- Process user fee/report fee payments, petty cash, and credit card statements
- Manage inventory of all centers
- Monthly supervisory meetings with Community and Family Services Director
- Conduct staff recruitment and training.
- Create staff schedules based on program needs, staffing levels and availability.
- Submit pay roll/timesheets and mileage claims.
- Manage volunteer/student recruitment, placement, training, evaluation, and recognition.
- Manage a team of staff members and volunteers.
- Perform annual performance appraisals (PEAC) of staff and volunteers.
- Initiate disciplinary action as outlined in The Salvation Army Employees Relations policy and Procedures Manual.
- Conduct bi-monthly staff meetings and ongoing guidance.
- Ensure mandatory staff training requirements are met and maintained
- **Client Management**
- Complete and process comprehensive adult intake appointments, child orientations and assessment of families to the program
- Schedule and complete second child orientations for highly resistant visiting children
- Ensure the centers provide safe, child focused, neutral, and non-stigmatized environments for all participants.
- Explain clearly and concisely program rules and guidelines to participants.
- Anticipate and solve problems for high conflicts families by offering conflict resolution and troubleshooting.
- Ensure thorough and accurate documentation of all client contacts as per ministry guidelines.
- Maintain and manage an ongoing caseload of 50+ active families.
- Determine family eligibility for program through a formal intake process.
- Oversee the supervision of visits and exchanges between non-residential parents and children, and provide direct supervision when required.
- Manage client complaints and concerns forwarding to Director as appropriateEnter the accountabilities for this position and provide further details as required:

- **Community Liaison**
- Schedule and chair Advisory committee meetings and report to the committee ongoing
- Liaise with community partners and actively participate in community committees
- Provide presentations and be a guest speaker to promote program and inform community stakeholders
- Develop and maintain appropriate links to all community agencies, courts, and the legal system within the counties of Frontenac, Lennox and Addington providing information regarding Supervised Access services
- Attend Ministry conferences and participate in weekly provincial coordinator meetings
- **Safety and Security**
- Maintain confidentiality of clients
- Ensure safety of program participants and staff with Supervised Access Best Practices
- Duty to report to Children’s Aid Society when required.
- Facilitate regular safety drills.
- **Health and Safety**
- To assist the manager and Committee members to conform to all regulations.
- Follow safe work procedures.
- Know and comply with all regulations.
- Report any injury or illness immediately.
- Report unsafe acts and conditions
- Participate in joint health and safety committees if elected.
- Participate in all training.
- Know all hazards, including those outside own work area.
- Know were the first aid kits and fire extinguishers are located and how to use them.
- Participate in workplace inspections as required.
