Sales & Production Administrator (Order Desk)

The Sales & Production Administrator plays a vital role in supporting both the sales and production departments of the fabrication process. This position involves administrative duties related to sales order processing, inventory management, and customer service.
The Sales & Production Administrator ensures smooth coordination between sales, production, and other departments to facilitate efficient operations and deliver exceptional service to customers.
**Responsibilities**:
- **Sales Order Processing**: Receive and process sales orders accurately and efficiently. Verify order details, pricing, and specifications to ensure accuracy and completeness. Coordinate with sales representatives, customers, and production teams to confirm order requirements & check availability for products.
- **Inventory Management**: Work with Head of Production & Production Manager to ensure inventory levels of raw materials, work-in-progress, and finished goods to ensure adequate stock levels for production and fulfillment of customer orders. Coordinate with procurement and production teams to replenish inventory as needed.
- **Customer Service**: Serve as a point of contact for customer order inquiries, & provide sales reps with order updates. Provide timely and professional assistance to Sales regarding order status, product inquiries, and general order inquiries. Address department concerns or issues promptly and escalate complex matters to appropriate departments or management as needed.
- **Documentation and Reporting**: Maintain accurate records of sales orders, inventory levels, and customer communications. Prepare reports and documentation as required by management for sales forecasting, inventory analysis, and performance tracking.
- **Coordination and Communication**: Facilitate communication and collaboration between customers, sales, production, shipping, and other relevant departments to ensure seamless operations and timely order fulfillment. Gather information to complete files for fabrication.
- **Administrative Support**: Provide administrative support to the sales and production teams, including but not limited to data entry, filing, correspondence, and organizing meetings or appointments. Assist with the review of sales quotes, proposals, and presentations as requested.
**Qualifications**:
- High school diploma or equivalent; additional education or training in business administration, sales, or production management is preferred.
- Proven experience in an administrative role, preferably in a manufacturing or production environment.
- Strong organizational and multitasking skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with customers, colleagues, and vendors.
- Proficiency in Microsoft Office Suite and experience with sales management or ERP systems.
- Attention to detail and accuracy in data entry, record-keeping, and documentation.
- Ability to work independently with mínimal supervision and as part of a collaborative team environment.
- Knowledge of manufacturing processes, production scheduling, and inventory management principles is a plus.
- Physical Requirements:
- This role may involve sitting for extended periods, occasional lifting of light objects, and moving between office and production areas as needed.
- The Sales & Production Administrator plays a critical role in supporting the sales and production departments, contributing to the overall efficiency, customer satisfaction, and success of the manufacturing business.
Pay: $40,000.00-$45,000.00 per year
