We operate out of several locations and provide a wide variety of services including: primary health care, chiropody, physiotherapy, health promotion, social work, community health, immigrant and refugee services, housing assistance, harm reduction and homeless programs, Pathways to Education, infant and child development programs, parenting programs, youth outreach and employment services.

**Job Summary**

The Medical Secretary in the Safer Opioid Supply (SOS) Program works with a team of practitioners to provide support for an emerging safe supply program with substance users, some of whom access safe injection related services through our Consumption Treatment Services. The program’s main area of focus is to support RPCHC’s contribution to the prevention of opioid overdoses and other harms associated with the toxic illicit drug supply in the Regent Park community.

The Medical Secretary is required to work in ways that are respectful and inclusive of all services users, staff and volunteers, and to promote the mission and values of RPCHC. This role contributes to the effectiveness of the Centre by providing clinical secretarial support and performing administrative duties for various clinical providers.

This is a Full-time Contract Position, 35 hours per week. Salary Range: $24.36 - $29.34 per hour; plus benefits and HOOPP pension

This is a bargaining unit position within OPSEU Local 5115.

- April 10, 2023**Responsibilities include**:

- Prepare confidential clinical documents, correspondence, and other Health Centre related material.
- Process and track internal and external referrals from request through to receipt of the results.
- Schedule, and confirm patient diagnostic appointments, surgeries and medical consultations; provide reminders and TTC tokens/taxi chits as required
- Schedule interpretation service with external providers and physician on-call as required
- Maintain integrity of client file according to Centre policy
- Facilitate internal communication.
- Maintain confidentiality in accordance with Centre policies and Personal Health Information Protection Act.
- Maintain integrity of central filing system (both paper and electronic).
- Reconcile billing to RPCHC and advocate for lowering of fees on behalf of client (i.e. from labs, hospitals, specialists, etc.).
- Provide daily assistance to the clinical team, such as room bookings and meeting minutes.
- Greet clients and provide support as needed
- Schedule client appointments and provide reminders of upcoming appointments as required
- Informing staff/providers of client/patient arrival
- Manage, prepare, maintain, update, and scan documents for electronic health records (EHR)
- Manage an eight-line telephone system: answer incoming calls, direct to appropriate personnel and process messages, manage phone messages from answering service
- Sort and distribute all incoming and outgoing mail and parcels
- Copying and faxing documents
- Distribute / track harm reduction supplies as needed
- Compile information on clients/patients to create charts and update personal information in charts, changing status of chart as appropriate, and ensuring confidentiality
- Processing incoming documents, and ensuring security of charts and documents during non-office hours
- Process forms from clients
- Manage prescriptions, client samples, and deliveries that have been dropped off
- Keep a record of laboratory fridge data for Public Health
- Responsible for opening of building and transfer of phone lines from the answering service
- Give information about resources/programs at RPCHC, as well as giving information about external agencies, as needed
- Maintain appointment scheduling template in EMR for clinical staff as per direction from Primary Care Manager and/or Clinical Director. This includes entering yearly scheduling template and changes for time-off requests
- Processing providers schedule changes as required for unexpected absences (i.e. sick days, leaving early, etc.)
- Print day sheets for clinical team as reference in case of EHR outage
- Assign empty clinical offices to offsite providers who are using the space for the day
- Initiate crisis response procedures when necessary
- Requesting assistance from appropriate professional staff in case of emergency situations
- Securing Health Centre for end of day closing by initiating answering service
- Developing ideas to improve work methods and procedures, reporting to the Clinical Administrative Coordinator for review and implementation approval
