**Summary**:
Reporting directly to the Fleet Manager, **The Fleet Administrator** will play an integral role in the management of our administration related to daily operations in our fleet division.

**_
The work location for this position will be full-time in-person, at our Yard, which is located in Concord. This role may require occasional travel to our main office located in Vaughan._**

**Please note that this is an entry level role.**

**Essential Duties & Responsibilities**:

- Enter maintenance and welding work orders in the system; adding internal labor hours, comments and parts, closing off work orders for cost tracking on the work completed in our in house shops.
- Process high volume of invoices for asset repairs, shop supplies etc ensuring proper company GL codes are assigned to each invoice for cost tracking.
- Set up new vendors in our system with new paperwork.
- Work with vendors and accounts payable team for invoice corrections
- Generate Purchase and work order numbers for mechanics, welders & warehouse.
- Audit DVIR’s for errors, enter in tracking system.
- Regularly update and maintain our company drivers and asset info
- Issue fuel cards with sign off sheets for new hires, manage lost/replacement requests
- Order 407 transponders as needed for new vehicles.
- Other administrative tasks as needed.

**Requirements**:

- Post-Secondary Education/College Diploma
- Experience with CVOR (Canadian vehicles operator’s registration) related documentation and administration is considered an asset
- Knowledge and use of Microsoft Word, Excel, and Adobe
- Valid Ontario Drivers Licence
- Proficient in the English language (written and oral) with strong inter-personal and communication skills
- Being able to work in a strong team environment is considered an asset
- Strong planning and organizational skills with the ability to multi-task and prioritize
- Ability to meet and adhere to deadlines and work under strict time constraints
- Be self-motivated and driven
- Must be legally eligible to work in Canada - no work permit sponsorship is available for this position.
