The Facility Engineering group of the Engineering Services section is recruiting a Technical Records Coordinator. Reporting to the Professional Engineering and Geoscience Quality Manager, the Technical Records Coordinator performs a leading role in the implementation, management, maintenance, and development of the one or more of theCity of Edmonton’s Electronic Document Management Systems (EDMS). This process and system involves critical infrastructure records for the City of Edmonton facilities such as office buildings, workshops/storage garages, arenas, swimming pools, libraries, fire stations, police stations, parking structures and other civic facilities.

Major responsibilities of this position are to review project record document submissions for compliance with standards and uploading these into the EDMS. You will also ensure the integrity of, and access to, electronic project artifacts and standards. Paramount is QA/QC of both the document content and the associated metadata, as well as the final organizational presentations (user experience) in the EDMS. EDMS training and coordination of system access, use and development throughout the City will also be a responsibility.

- Setup and coordinate with EDMS system users across the City of Edmonton Corporation; help to resolve user issues; and integrate EDMS with existing and new business processes
- Ensure EDMS data is reliably available, accurate, and current. Identify, analyze and troubleshoot system irregularities; correspond and co-ordinate with software provider and Open City Technology (OCT) on software development and performance issues
- Manage cloud based subscription access to electronic Standards & Codes
- Provide service to entire City Corporation and private sector consultants for Facility information searches relative to project planning and design work, maintenance, operations, litigation, etc.
- Maintain awareness of Project status to receive and/or solicit Project records from PMs or Consultants and maintain up-to-date project list
- Review Consultant & Contractor submissions for completeness, compliance with City documentation and classification metadata. File Record Documents into EMDS, performing final QA/QC checks
- Manage procedures and standards for the use and implementation of the City CAD/BIM Standards; updating and modifying to suit business requirements and/or as directed
- Provide CAD Administration support, license coordination, and training as required
- Other related duties as required

**Qualifications**:

- Completion of a two (2) year diploma in an appropriate Engineering Technologist program such as architectural or engineering technology
- Minimum of two (2) years experience in a facility architectural, engineering, design, management, or operations environment including CAD work and the administration of an information or project management system
- Applicant must be eligible to be recognized as a Certified Engineering Technologist (C.E.T.) with ASET
- Proficiency in AutoCAD and direct experience with some type of EDMS is required
- Proficiency and solid understanding of the built environment, particularly in terms of facilities and technical knowledge of building construction, systems, and/or operation. Must have technical knowledge of building construction and/or operation
- Must have exceptional attention to detail to ensure accurate classification and complete EDMS information on projects
- Ability to communicate effectively, both verbally and in writing
- Demonstrated willingness to take ownership of business systems, such as document or project management, in terms of administration and data or process integrity
- Ability to work independently, take initiative, be self motivated, and work with mínimal supervision in a technical office environment with experience obtaining results from others without having direct authority
- Knowledge or skills of working within a municipal or other institutional environment considered an asset
- Hire is dependent upon a Regular Police Information Check satisfactory to the City of Edmonton
- Proficiency within a Google Workspace Environment (Gmail, Docs, Calendar, Sheets) and basic database exposure
- Valid Alberta Class 5 driver's licence (or provincial equivalent) is required
