Calgary, Canada Oasis Fertility Center Full time

The role of the Medical Office Assistant requires a close and collaborative relationship with the rest of the Oasis team, both administrative and clinical, and with patients. The MOA will be responsible to assist in keeping efficient and effective patient flow throughout the clinic during morning hours.

Duties Include:
Serve as the initial point of contact for patients and carry out all reception related duties
- Answer and make phone calls to address patient queries correctly, with empathy and compassion
- Schedule and confirm patient appointments, receive and communicate messages for medical staff and patients.
- Register patients on arrival
- Interview patients to obtain information required for medical services
- Responsible for collecting patient payments
- Review payment record, identify outstanding charges, collect monies owing, prepare receipts
- Complete insurance and other claim forms

Collate and manage the administration of patient charts
- Initiate and maintain confidential medical charts and records on the EMR
- Provide patients with their information enabling them to enter the patient portal.
- Follow up on test results not yet received by calling the appropriate labs to have reports faxed if not in the AHS system.
- Respond to requests for records, copy and send requests for release of information to the appropriate hospital or physician office.
- Scan reports in patient charts on EMR
- Retrieve files for up-coming clinic visits

Carry out secretarial duties
- Transcribe dictation or rough notes from medical reports, correspondence, medical records, and patient information when required.
- Proofread work for typographical and grammatical errors
- Record, prepare and distribute agenda and minutes for meeting
- Photocopy documents for distribution, mailing and filing
- Process in-coming and out-going mail, manually and electronically
- Send and receive messages and documents using fax machine and electronic mail
- Familiarity with all aspect of the electronic medical record.

General Patient care
- Uploading and maintaining all patient charts in the EMR by accessing Alberta Netcare for records.
- Answering patients’ questions and concerns, interacting in a supportive and informative manner.
- Respecting and maintaining privacy and dignity of patients; assuring patient confidentiality at all times.
- Working closely with all teams at Oasis Fertility Centre to ensure smooth patient flow.
- Backing up the Satellite Monitoring Coordinator and the Referral Coordinator as necessary.
- Booking follow-up consultations as required.
- Attend meetings as and when required.

All other duties as required

**Job Type**: Part-time
Part-time hours: 25 per week

**Salary**: $22.00-$24.00 per hour

**Experience**:

- Receptionist / Medical Office Assistant: 2 years (required)

Licence/Certification:

- Medical Office Assistant Certification (required)
