This position reports to the Director, Asset Planning & System Engineering and supports other Asset Management & Distribution Operations divisions at the Ajax location. The incumbent will be responsible for the following activities:
DUTIES AND RESPONSIBILITIES
- Maintain strict confidentiality in all matters pertaining to this work.
- Assist Managers and Supervisors of the Division and, as may be required, assist the Executive Assistant, Asset Management/Distribution Operations.
- Coordinate and implement any administrative special projects the Division Managers may assign.
- Administer and maintain various administrative systems related to confidential and personal concerns, as directed, including medical leave, staff vacation requests, expenses etc.
- Process invoices, credit card statements and expenses as required by Division.
- Produce Division documents such as letters, memos, meeting minutes etc. Using current software.
- Schedule and arrange all meetings, appointments, and travel arrangements as required for the Division.
- Maintain Division related distribution lists
- Strongly assist in organizing action items, follow-ups etc. on a daily basis for Division Managers as requested.
- Operates as extension of Division Managers on continual basis to issues and follow-up on assignments, directions, instructions, tasks, etc. from numerous staff both within and outside the Division.
- Manage all administrative responsibilities for the Division including:

- Human Resources and Payroll activities (Penny training and troubleshooting), approval of time sheets when Managers/Supervisors unavailable
- Creating and linking new files and records in File Management System, Department Databases and GIS Project Folders
- Tracking and administering Municipality Development Application Reviews
- Tracking and follow-up of Job Planning Folders
- Tracking and fulfilling Drawing Markup/Utility Confirmation requests
- Receives and directs inquiries via telephone/in person from customers, suppliers, municipalities, developers, and contractors.
- Create, produce, and track Outage Notices as requested by staff.
- Main liaison/contact for Connections File Management Systems and filing room/library.
- Troubleshoot and make modifications, additions, and/or corrections to the Engineering and File Management System databases as necessary.
- Procure office materials and supplies for staff as required.
- Assist with ESA/CVP and Finance Audits as requested throughout the year.
- Back up support to Connections Group for scheduling regular emergency locates.
- Compile month-end data and create ESQR month-end reports ensuring accuracy and completeness.
- Other duties as assigned.

- Ability to work with mínimal supervision.

MINIMUM REQUIREMENTS
- Completed High School or equivalent.
- 3 to 5 years related experience.
