MacEwan University invites applicants for a full-time continuing Human Resource Assistant position with our Human Resources Department. As the Human Resources Assistant, you will provide comprehensive administrative support to the Human Resources department and direct administrative support to the Associate Vice President and HR Leadership Team (HRLT). This includes coordinating calendars and schedules, administrative process improvement projects and initiatives, serving as the departmental records management lead, coordinating project management and reporting, supporting Human Resources communications, and coordinating departmental finances.

Your responsibilities include, but are not limited to:

- Actively manages the AVP's calendar, including prioritizing meeting requests, scheduling regular and recurring meetings and appointments (1:1s, performance conversations with staff, committee commitments, etc.), blocking working/desk times, coordinating availability with other areas of the University, and rearranging appointments as required
- Tracks and follows up on action items assigned to HR
- Keeps a calendar of relevant meetings, committees and deadlines and coordinates the submission of briefing notes and related documents/resources
- Prepares financial and operational reports.
- Processes and prepares invoices, purchase requisitions, purchase orders, journal entries, and expense reports.

**SKILLS**
- Ability to take initiative, work independently and manage multiple projects and/or priorities with mínimal supervision
- Ability to create professional reports and correspondence
- Software proficiency - Microsoft Office including Outlook, Word, Excel and PowerPoint, PeopleSoft
- Strong communication and interpersonal skills
- Excellent organizational and time management skills
- Aptitude toward logical problem-solving and continuous improvement
- Strong proofreading/editing skills
- Keen attention to detail
- Ability to handle sensitive information, including personal data, system data, and financial data, where errors could significantly impact the department’s reputation
- Ability to display professionalism, discretion, and diplomacy in relationships internal and external to the department

**QUALIFICATIONS**
- A minimum of a high school diploma
- Formal training/certification in administration, office software, financial processing and/or records management is preferred
- Minimum of three years of well-rounded administrative support experience, including supporting senior leaders, meeting coordination, calendar management, project coordination, financial coordination, records management and communications support, is required
- Experience in HR is preferred
- Experience in a post-secondary and/or unionized environment is an asset.
