**Job Duties**
- Provide administrative support to the Sales Department and Management.
- Complete and review all shipping documents and other relevant documents.
- Assist with the organization of all tradeshow events including hotels, flights, conference details and material preparation.
- Receive, ship and track customer bottle samples to suppliers accordingly via UPS/Fedex
- Assist with social media posts and help with website updates
- Review and prepare all documents, reports and other correspondence materials for the management team.
- Organize and edit templates of equipment for our sales team on an on-going basis
- Update company and supplier brochures/ catalogs to ensure sales team has up to date information for customers.
- Manage company database to ensure information is documented and organized.
- Maintain daily appointments of all management and executive members.
- Maintain a high level of confidentiality in all interactions.
- Assist with report and presentation preparation.
- Maintain a professional image and demeanor with all employees, management, executives and visitors at all times.
- Prepare travel arrangements with a keen attention to detail, where necessary.
- Ensure office supplies are ordered promptly and all boardrooms are ready for visitors
- Other duties, relevant to the position, shall be assigned as required.

**Requirements**:

- Secondary School Diploma required.
- Business or Office Administration degree or diploma required; or relevant working experience with a proven track record
- 5+ years' experience as an Administrative Assistant, or relevant role, considered an asset.
- Proficient use of various office-based software including Microsoft Office Excel, Access, PowerPoint and Word is **mandatory**.
- Knowledge in logistics and customs paperwork an asset, but not required
- Confident with creating content for social media in Canva or other marketing tools; knowledge or Wordpress and Elementor an asset
- Ability to work in a fast pace office setting to meet deadlines for suppliers, customers and management
- Comfortable sitting for long periods and repetitive work.
- Overtime may be required.
