Position Overview:
**The Program Assistant is an integral member of the Fire Admin team. We are seeking a collaborative, self-starter who will be the first point of contact at Fire Headquarters.**

**Responsibilities**:
- Provides administrative support for the Alternate Community Emergency Management Coordinator (Deputy Chief) the Program Manager - Fire Systems and Projects, and the Fire Training department.
- Maintains stockroom inventory and facilitates the clothing program across the Fire Division.
- Maintains the medical supplies program.
- Works with the Deputy Chief to resolve fire station repairs, office equipment repairs, and appliance repairs.
- Investigates and responds to inquiries or requests for information.
- Plans and organizes the Joint Health and Safety Committee meetings, including taking minutes and setting agendas.
- Takes the lead in planning and organizing Fire Department special events.
- Distributes mail in a timely fashion to appropriate divisions.
- Maintains and updates divisional forms as needed.
- Maintains and updates workplans for Budget within portfolio.
- Utilizes Concur for reimbursements and visa reconciliation.
- Maintains and updates Fire Division employee contact lists.
- Registers staff for corporate training and hearing tests.
- Performs administrative functions including filing, shipping packages, payment of invoices, maintaining office supply inventory, and ordering flags.
- Issues and tracks keys, including master firefighting keys, sets key fob access levels, all in accordance with set guidelines.
- Distributes fuel cards.
- Performs all other duties as assigned.

**Requirements**:
- Must possess a minimum Grade 12 diploma, with up to one-year additional post-secondary job-related courses.
- Must have a minimum of one-year related experience, previous experience in a fire environment considered an asset.
- Must be reliable with a good attitude and employment record.
- Must have the ability to maintain confidential information.
- Must have strong interpersonal skills to provide excellent service to both internal and external customers in a courteous and professional manner.
- Must have excellent verbal and written communication skills.
- Must have excellent organizational skills with an ability to manage multiple tasks and deadlines.
- Must have strong attention to detail and proven ability to work independently and meet deadlines under pressure.
- Must have excellent data entry and proofreading skills.
- Must possess mathematical skills and be able to perform calculations accurately.
- Must be highly proficient with Microsoft Word, Excel, PowerPoint, Outlook and the Internet.
- Must have demonstrated ability to participate as an effective team member.
- May be required to provide a satisfactory Police Reference Check (Vulnerable Sector) or Criminal Record Check at your own expense as a condition of employment.
