The Governance and Policy Analytics Coordinator will be responsible to support corporate governance programs such as WSPS Board of Directors, Senior Leadership Team, and external stakeholder strategies. Representing WSPS with internal and external stakeholders and being part of the Office of the CEO and President, this individual must exhibit tact and diplomacy in all interactions; understand the need for confidentiality and possess good judgment in proactive problem solving.
What you will do in this role:
**Support WSPS Board of Directors Deliverables (40%)**
- Provides a professional administration service to the WSPS Board of Directors (including prepare agenda, reports, action lists, minutes, arrange meetings, catering, IT support) to ensure compliance with the Ministry of Labour, Training and Skills Development rules and regulations, procedures and practices, and the production and quality of governance products including;
- Oversees quality control for information provided to support productive meetings, discussions, and decision-making across all levels of management
- Undertakes appropriate post-meeting action to ensure implementation of decisions arising from meetings serviced by the incumbent, or as required, and ensure an appropriate forward plan for the work of the Board of Directors
- Reviews and arranges for the payment of reimbursement of expenses of the Directors following MBC Directives and all corporate finance policies.
- Management of the WSPS Board of Director Web portal including.
- Ensure site accessibility for all users
- Responsibility for all website content
- Assess and evaluate the quality of experience for all site users and modify site to ensure optimal experiences
- Develops and distributes annual calendar, and meeting agenda that align with all requisite workplans, internal and external business requirements.
- Ensures workplan and agenda items are assigned appropriately to other divisions, teams, or designated staff for follow up and next steps.
**General Coordination/Program Support (40%)**
- Provides a professional administration service for the Senior Leadership Team Meeting (including prepare agenda, reports, action lists, minutes, arrange meetings, material distribution, liaise with senior management on relevant issues) to ensure compliance with the workplans, procedures and practices including undertaking appropriate post-meeting action to ensure implementation of decisions arising from meetings, or as required by the CEO, and ensure an appropriate forward plan for the work of the Senior Leadership Team
- Collaborate with team members on the development of a yearly corporate calendar to include meetings with Board, Advisory Committees, volunteers, strategic partners, senior leadership, management, divisions, teams and all-staff
- Prepares CEO information and meeting material required for internal and external meetings. This may include preparation of summary briefings and identification of issues requiring further follow up. Ensures the CEO is fully briefed on high priority and urgent issues and that timely and appropriate action is taken with or in the absence of the CEO
- Exercise discretion and maintain confidentiality in carrying out responsibilities; take initiative in problem-solving; independently handle sensitive situations using tact and diplomacy; and use initiative to ensure matters requiring attention are handled appropriately; and work effectively in stressful situations meeting expected deadlines
- Adheres to internal and external audit requirements, including all management systems document preparations, and ensures CEO is briefed and prepared for all internal and external audits including file management and tracking
- Provide executive support for the Chief Executive Officer and the SLT, as well as administrative support to the Office of the President:
- Financial administration including processing CEO expenses, invoice processing and procurement in compliance with WSPS financial policies
- Procedural administration including Daily Management System, time tracking, internal training, department deadlines by developing and maintaining project tracking systems as required, including invites, minutes, and action items
