**Job Title**: Administrative Assistant - Shelter

**Benchmark and Grid**: Administrative Assistant, JJEP Wage Grid Level 10, Step 1

**Job Summary**: Provides administrative support to program managers and staff in the execution of their duties. Provides phone, reception, secretarial and clerical assistance.

**Reports To**: Program or Administrative Manager

**Key Duties and Responsibilities**:

- Manage all day-to-day phone communications and in-person inquiries in the office, including client, service people, donors and crisis calls, referring to appropriate staff and/or external resources as required.
- Administer the telephone, voice mail and computer systems in the Community Office; manage correspondence, purchase office supplies and basic facility supplies.
- Record cash/goods donations. Processes petty cash funds, bus passes and gift card requests. Performs regular reconciliation a provides reports as required.
- Under the supervision of the program manager, call out available shifts consistent with the Society’s policies. Maintains callout records and communicates changes with program manager and staff.
- In consultation with program manager, maintains and submits data collection for various funding sources. Prepares reports as required.
- Provide administrative support to program manager and staff in the form of word processing, routine correspondence, team meeting minutes, form development, updating communications materials (handouts, resource materials, program brochures) and basic website updates.
- Provide care and maintenance of office equipment; organize the office space and systems as required; and order supplies as needed. Maintains and develops an inventory of all office equipment and ensures regular maintenance equipment.
- Assist the administrative team in maintaining and updating the organization’s files and filing systems; maintain and update resource manuals.
- Attend team and staff meetings, taking and distributing minutes when requested. May provide administrative support for Joint Occupational Health and Safety Committee.
- Maintain office kitchen supplies to meet needs of staff, groups, meetings.
- Participate in committee, team, and staff meetings.
- Performs other related duties as required.

**Qualifications**

**Education, Training and Experience**:

- Completion of a recognized office administration program
- A minimum of three years’ office experience is required, or equivalent education, training, and experience.

**Job Skills and Abilities**:

- Thorough knowledge of office practices and administrative procedures
- Proficiency in Microsoft Office
- Ability to work cooperatively in a team setting, effective time management, good communication and customer service skills, sensitivity to women and children in crisis.

**Additional Information**: This position is required to work in an environment often dealing with clients in crisis situations or interpersonal situations.
