**Position Overview**

**Active living** in the **Faculty of Kinesiology** is currently seeking a Recurring Part-time **Custom Program Coordinator**.

The University of Calgary's Active Living department stands out as one of the largest and most diverse recreation departments across North American campuses. Boasting a dedicated team of 40 full-time and up to 600 part-time staff, we annually manage a staggering 47,000 registrations spanning over 75 recreational and sporting activities. Our facilities cater to over a million users, featuring North America's largest Outdoor Centre equipped with climbing and bouldering walls, a gymnastics centre, an Olympic-sized pool, a fitness centre with a 200m track, Canada's largest university racquet centre, five gymnasiums, and access to the Olympic Oval.

Within the Outdoor Centre, we house approximately 10,000 rental items available to both students and the public. Our certified and experienced Coordinators curate a diverse range of introductory, educational, and skill-based programs. As the largest of its kind in North America, the Outdoor Centre is further distinguished by a full-service ski/snowboard and bike repair shop. We are steadfast in our commitment to being a trailblazer, providing affordable equipment and education to facilitate access to outdoor recreation activities.

The primary objective of this role is to collaborate with the Outdoor Centre team in planning, coordinating and delivering exceptional outdoor programs, with a particular emphasis on assisting in the coordination of custom programs. Successful execution in this role requires strong organizational skills, meticulous planning, and, and self-directed initiative to guarantee the delivery of programs at the highest standards. The ultimate goal is to guarantee that participants enjoy exceptional and memorable experiences.

This is a Recurring Part-time position which reports to the Outdoor Centre Programs Supervisor. The position is based on a Monday to Friday work schedule with a forecast of 35 hours per week. Flexibility is essential as occasional weekend or evening work maybe required.

**Position Description**

**Summary of Key Responsibilities** (job functions include but are not limited to):

- Receive and manage program requests, ensuring effective scheduling to meet customer requirements.
- Handle staff scheduling and timesheets, ensuring efficient allocation of resources.
- Process forms in compliance with existing agreements.
- Monitor conditions and adapt or cancel programs when necessary.
- Generate rental work orders and organize packouts for programs.
- Maintain effective communication with teachers and organizers.
- Issue invoices post-program completion.
- Contribute to the development of new program offerings.
- Provide assistance with program logistics as required.
- Responding to phone inquiries for general questions and administrative assistance.
- Identifying and flagging technical questions for Program Coordinator review.
- Handling transfer and withdrawal requests efficiently.
- Processing refund requests in accordance with established procedures.
- Managing multi-part program registrations seamlessly.
- Assisting clients with registration processes and resolving account issues.
- Verifying waivers for upcoming programs.

**Qualifications / Requirements**:
Must have:

- Standard First Aid.
- Strong organizational and time management skills, accuracy, careful attention to detail and a well-developed procedural know-how.

Preferred to have:

- Waterfront Paddling Instructor.
- Climbing Certification (CGIL1/CWI2).
- A valid Class 4 driver's license (cannot be a graduated license) with proven good driving record (abstract required).
