**ACCOUNTABILITIES**

**RESPONSIBILITIES**
- Manage the day-to-date operations of the assigned commercial properties;
- Conduct inspections of the property and tenant spaces to ensure compliance with leases and the proper upkeep of the property including common areas, building exteriors, and landscaping;
- Work collaboratively with the asset management team to create Property Management and Preventative Maintenance plans (e.g. replacement of major capital expense items such as HVAC system, roof systems and parking lot surfaces);
- Serve as primary point of contact for tenants providing excellent customer service, responding to tenant requests/problems in a timely and courteous manner and generating work orders directed to vendors or maintenance staff. Follow-up with the tenant to ensure satisfactory resolution of the issue. Ensure that there is 24-hour emergency coverage for the property at all times;
- Correspond with tenants regarding rent collection, overdue accounts, building violations, common area costs and property taxes;
- Work closely with contractors, vendors, and service providers to ensure quality service and cost-effective solutions;
- Analyze and distribute monthly financials including operating variances from budget, cash management and strategies for collecting receivables;
- Prepare, implement and oversee approved annual operating budgets for each building in assigned portfolio;
- Ensure monthly financial statements and disbursements are accurate and timely;
- Ensure rent is fully collected each month;
- Administer leases, maintain lease information in Yardi, track all critical lease dates and terms, review all tenant billings, analyze lease clauses, enforce tenant compliance, and perform landlord obligations;
- Coordinate tenant move-ins and move-outs, ensuring smooth transitions and compliance with lease terms;
- Approve, oversee and administer contracts for provision of property services, such as cleaning and maintenance, snow removal, landscaping, etc.;
- Ensure all tenant and landlord insurance is current;
- Prepare legal documentation (i.e. lease documents, renewals, amendments, etc.); and
- Continually strive for exceptional maintenance and management in accordance with approved budgets and property management agreements.

**QUALIFICATIONS**
- A minimum of 2 years of direct property management experience (commercial);
- Able to effectively multi-task and be able to prioritize time-sensitive tasks and matters, deal intuitively with any situation and work under mínimal supervision;
- Ability to communicate effectively and professionally, both oral and written with both internal and external stakeholders;
- Strong organization, planning and diplomacy skills to prioritize tasks, interact with trades, handle conflict and exercise sound judgement;
- Ability to work effectively in a rapidly growing/changing environment with a high degree of resourcefulness and adaptability;
- Able to work flexible hours, including weekends and on-call for emergencies; and
- Experience working with Yardi software will be considered an asset.
