**Executive Administrative Assistant**
**About Us**: Dynamics G-Ex is an international geological supplies company based in Australia, and we are excited to announce our expansion with a new office in Abbotsford BC Join our dynamic team where your role as an Executive Administrative Assistant is pivotal in ensuring the smooth operation of our day-to-day activities. You will enable our executives to focus on strategic initiatives by handling a combination of administrative tasks and basic recruitment duties. If you have excellent communication skills, a proactive approach, and can adapt to a fast-paced work environment, we want to hear from you
This role is a full time in-office role, with a competitive annual salary and bonus, company funded extended health benefits and 3 weeks vacation.
**Key Responsibilities**:
**Administrative Duties**:
- Process credit card payments and make AR calls for payment.
- Obtain freight quotes for inbound and outbound shipments.
- Create quotations for customers and prospects, ensuring follow-through calls are made by the sales team.
- Manage LinkedIn account and social media activity for the General Manager and Sales Manager.
- Populate monthly management report templates for board review.
- Provide comprehensive support to the executive team, including calendar management, meeting coordination, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Manage office supplies and coordinate with vendors for office maintenance and equipment needs.
- Handle incoming and outgoing communications on behalf of the executive team, ensuring timely responses.
- Assist with organizing company events, meetings, and team activities.
- Maintain confidential files and records, ensuring accurate documentation and compliance with company policies.
**Recruitment Duties**:
- Coordinate the onboarding process for new hires, including preparing welcome materials and assisting with orientation logistics.
**Cyber Security**:
- Adhere to IT policies and complete monthly Cyber Security training.
- Utilize company-provided Password Management software.
- Help mitigate risks of cyber and security breaches through regular training.
**Company Culture**:
- Role model the company core values within the team.
- Promote collaboration and the adoption of National Team systems.
**Qualifications**:
- Proven experience in an administrative or executive assistant role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and social media platforms.
- Ability to handle confidential information with discretion.
- Proactive and able to work independently in a fast-paced environment.

Pay: $47,315.00-$60,681.00 per year
