Executive Assistant

**Job Summary**:
Are you an organized person who loves to work in a team environment? Come join our amazing team at Fransyl as an Executive Assistant Your role will be to work with all Vice Presidents and the President to assist management by coordinating administrative procedures, research, and analysis activities as well as communication related to the management of human resources, financial and material resources, and sales support. You will have a direct impact on the successful implementation of the strategic elements of management while ensuring rigorous follow-up of the various mandates and files assigned to you. The goal is to contribute to the synergy between each department.
**Responsibilities**:
- Write, edit and format all management documents and correspondence, including committee minutes in French and English;
- Coordinate the organization of various appointments and meetings;
- Prepare agendas;
- Design a corporate calendar with important dates;
- Confirm various management meetings and travel;
- Plan and coordinate business travel; make reservations for accommodations, conference rooms, transportation, restaurants and equipment for various meetings;
- Analyze reports, make presentations and participate in the creation of PowerPoint ;
- Conduct various internet searches when requested;
- Requesting various bids;
- Create various documents on various platforms;
- Participate in the development and implementation of policies;
- Provide administrative support (file follow-up, expense reports, budget follow-up, etc.)
- Participation in the implementation of corporate events;
- Performing more physical tasks: Preparation of orders, packaging and shipping, floor plan, etc.
- All other tasks related to general administration;
**Required education**:
- DEC in administration or a university certificate;
- A minimum of 2 to 4 years of relevant experience.
**Required skills**:
- Fluent in French and English, both written and spoken;
- Advanced knowledge of the Office suite, particularly Excel, Word and PowerPoint;
- Sense of confidentiality;
- Sense of organization;
- Speed of execution to meet deadlines;
- Ability to communicate clearly;
- Ability to manage priorities;
- Ability to work in a team;
- Creativity;
- Ability to manage multiple files simultaneously;
