Who are we looking for?
The Executive Assistant is an individual who is willing to learn and grow within the Common ground Group. This individual relishes the opportunity to build, implement, and manage multiple systems with mínimal supervision, as well as being a self-starter.
The Executive Assistant is deeply committed to completing tasks the right way with a high degree of quality, focus, attention to detail, and consistent communication. The Executive Assistant is deeply committed to supporting the lead agents in achieving greater levels of
success, and to growing their own skills, developing into a supportive leader within the team.
As the team's success grows, this individual will be responsible for onboarding, training, and leading new team members, ensuring that all administrative tasks are completed to the highest standards with maximum efficiency.
What will you do?
- Build, implement, and manage al systems for sellers, buyers, lead generation, database management, information management, and back-office support
- Build monthly communication to send out to all clients in database
- Curate and create content for social media posts
- Create and order mailers, send out holiday cards, birthday cards, plan events, and create closing gift packages.
- Responsible for all financial systems, including maintaining the books, assuring the collection of commissions, maintaining the budget, and generating financial reports.
- Oversee all contracts through closing
- Create and maintain an operations manual that documents al systems and standards
- Be the first point of contact in handling customer inquiries or complaints
- Keep the lead agent informed regarding any problems or issues that need to be handled
- Responsible for hiring, training, consulting, and holding accountable al additional administrative team members
- Responsible for training, consulting and holding accountable al agents on the team
- Responsible for running errands as required
- Responsible for completing training to grow your skill level and the business
- Responsible for scheduling and maintaining the calendar of the lead agent.

**Job Type**: Part-time
Pay: $45,285.25-$50,000.00 per year
Expected hours: 20 per week
Flexible Language Requirement:
- French not required
Schedule:
- Day shift
- Monday to Friday
- Weekends as needed

- Secondary School (preferred)
