Document Control Administrator, Contract Support provides general Document Control (DC) support as needed and is focused on ensuring that required program documents received from CNL Contractors are forwarded to the appropriate Contractors by CNL and properly stored, registered, and managed using CNLs Contract Management System known as Aveva.

**What will you be doing **
- Responsible for ensuring proper document control and records management governance are adhered to; receives on behalf of HWPMO all submittals and communication related to document control from contractors in CNL’s contract risk management system; Ensures information received follows CNL’s standard, processes, procedures, and guidelines and is communicated in a timely manner to project staff and stakeholders. Ensures all communication from CNL related to submittals are sent to the Contractor in a timely manner via the contract management system
- Responsible for initiating and coordinating reviews and acceptance of all submittals by project staff and stakeholders in a timely manner. Works with project staff to track and provide status and issues on submittals and communications. Works with project staff to identify and manage exceptions (for submittals and in handling submittals).
- Responds to project staff inquiries regarding use of the contract risk management system for document control including for the review and acceptance of submittals. Responsible for recommending process changes to existing document control workflows. Assists with coaching of project staff and contractors on use of the contract risk management system
- Ensures all submittals or records received via the contract risk management system are accurately recorded, labeled and filed in the Content Server (Electronic Document and Records Management System - EDRMS) in accordance with CNL standards, processes, policies, and guidelines. Assists with coaching of project staff and contractors on document control processes, procedures and workflow
- Responsible for document control support as required and works with record owners, quality assurance leads and document approvers to ensure quality of records are maintained in accordance with information management standards. Ensures all DC quality issues are addressed, and stakeholders are briefed as required.

- Strong communication and collaborative skills required to liaise with different project staff and stakeholders.
- Ability to work independently and as part of a matrixed team.

**Experience**:

- Knowledge of records and information management best practices, procedures, and guidelines.
- Strong working knowledge of Microsoft Office 365, including Word, Excel, and Outlook.
- Experience with Content Server or with other enterprise level information/records management systems is a plus.
- General knowledge of databases to perform search, validate, archive and process of documents.
- Previous experience working with a Contract Management System is a definite plus.

**Education**:
**Preference will be given to applicants with a post-secondary certificate, a records and information management certificate from a recognized college, and/or having two (2) years of progressive relevant experience in a projectized information/records management environment. Applicants with a minimum of Grade 12 or equivalent in technical training and a proven track record in the field with a minimum of two (2) will be considered.**

**Security Requirements**:
**Security clearance eligibility required: Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom.**
