**ABOUT THIS POSITION**
At Y Station, a Project Coordinator is responsible for supporting the project leads and overseeing assigned tasks and projects to not only accomplish client objectives and finish on time and on budget but set and exceed client expectations. The Project Coordinator will create and monitor project plans, support the team to execute and close out projects, keep internal and external stakeholders informed, general project coordination support across both Research and Communications teams, all while gaining formative, hands-on experience in billable work.
**THE IMPACT YOU WILL HAVE**
In this role, you will provide support to a diverse set of communications and research projects, including communications strategies, large-scale public engagements, stakeholder and internal engagements, strategic planning, qualitative & quantitative market research, and other projects critical to our client’s success. Working alongside the whole Y Station team, you will also provide support to ensure that Y Station is always pursing the best work and is positioned as the leader in its chosen market areas.
As is expected with all Y Station team members, you will work closely with colleagues, bring new ideas forward, think critically, and help create and evolve formal and informal company practices. Through your work, you will set standards not only for the company, but for our industry. We are always looking for new kinds of work and new ways to do it. As such, you willsupport multi-disciplinary Y Station projects on an as-needed basis. There is no “work I don’t do” at Y Station.
This role will report to the Director of Operations and will work closely with all members of the Y Station team.
**THE WORK YOU WILL DO DAY-TO-DAY**
**Project Coordination**:
- Assist the team lead in the development of project management documents such as project budgets, project schedules, scope statements and project plans
- Execute project management administrative tasks such as managing expenses and outside costs, purchase orders, scope changes, among other things. Coordinate the allocation of project resources to ensure the project team has what’s needed at the right time
- Support project leads in meeting with clients to assess their needs and define project requirements, acceptance criteria and project timelines
- Monitor tasks of team members, manage reminders that help them understand what’s expected from them in terms of project milestones and deliverables
- Be a support liaison between the project team and project clients throughout the project life cycle
- Help team/project leads monitor project progress and team members’ performance and provide updates to project stakeholders
- Schedule stakeholder meetings, draft agendas, note-take, number-check, and generate report first drafts/templates
**Team Support**:
- Foster cross-team collaboration to help project team members complete project tasks and produce deliverables
**Business Development**:
- Support in business development through collecting and laying out turnkey assets (company profiles, bios, case studies, methodology approaches references) for proposals, as well as adjusting/updating of turnkey assets based on debriefings
- Support in researching, summarizing and preparing new business opportunities for review
**WHAT YOU BRING TO THE TABLE**
- Previous experience in administrative assistance/project coordination role; experience within a professional service firm, agency, or non-profit organization; or a recent degree/diploma with a relevant background, I.e., Bachelor of Commerce, Communications, Business Administration, etc. will be considered an asset
- Demonstrated high functioning, detailed organizational skills to keep projects and people on track
- Strong communication skills - especially writing and proof-reading - within a team and with clients
- Effective and proven client service skills
- Strong time management skills with the ability to multi-task
- The ability to understand, follow, and create effective internal processes
- Skills in document development, layout & formatting (specifically Microsoft Office365 Suite - fluency with Adobe or Canva will be considered an asset)
- Familiarity with social media platforms, including paid ad campaign set up and management will be considered an asset
