Development Coordinator

**1. General**
Reporting to the Director of Development, and working closely with the Fund Development and Business Office teams, the Development Coordinator will support the fundraising activities of The Manitoba Museum and The Manitoba Museum Foundation, including foundation, corporate, staff & volunteer, and individual appeals including annual, capital, endowment and planned giving. The position also supports various fundraising events/activities that generate funds and donations of goods and services.
The Development Coordinator is responsible for processing gifts, the preparation of receipts and acknowledgement letters, balancing deposits, and the preparation of daily reports. The position will maintain, import/export, develop and compile queries, reports and dashboards as well as prepare fundraising digital and physical mailings. The Development Coordinator will maintain the content calendar and support the annual Tribute Gala as well other donor events throughout the year.
The position holder acts as a resource to other staff in the use of Raiser’s EdgeNXT and the organization in providing donor service.
**2. Key Accountabilities & Typical Duties**
**A. Priority 1- Fund Development Administration
- 35% of Time**
To support the fund development department in the daily management of administrative tasks.
i. Processes gift payments from all sources; prepares accounting reports and reconciliations; and issues charitable tax receipts in compliance with guidelines.
ii. Issues prompt recognition of gifts while ensuring that current and appropriate thank-you letters accompany tax receipts.
iii. Prepares fundraising mailings.
iv. Maintains financial records, completes related administrative forms and manages budgets for assigned areas of responsibility.
v. Creates invoices and purchase orders for approval by the Director of Development;
vi. Completes general office ordering.
vii. Maintains event attendees lists including ticketing, dietary requests, invoicing & receipting.
**B. Priority 2 - Database Management and Reporting - 30% of Time**
To develop and implement processes and procedures to generate accurate reports and data files on time to support and maximize donor relationship management.
i. Administers; maintains; and improves record keeping in Raiser’s Edge NXT database.
ii. Manages queries, exports, imports and dashboards.
iii. Manages automated donor pipelines.
iv. Manages and maintains documentation on policies and procedures for data integrity.
v. Monitors compliance with policies and procedures to support ethical and successful fundraising practices.
vi. Prepares donor recognition lists for annual report and donor wall and annually updates donor wall.
To act as liaison and resource to other staff in the use of Raiser’s Edge NXT.
ii. Acts as the primary Fundraising & Development staff liaison in matters relating to the integration and information sharing across other databases within the Museum including, but not limited to Financial Edge NXT, Tessitura, CuadraStar, and MailChimp.
iii. Provides reports on activity to fundraising goals, donor activity and history, and analysis of the effectiveness of appeals.
iv. Liaises with IT, Marketing and other appropriate internal staff in setting online donation portals and monitors them to ensure accuracy and functionality.
**C. Priority 3 - Donor Development, Stewardship & Communication
- 25% of time**
To carry out baseline fund development plans in supporting annual donor stewardship and cultivation activities.
i. Assists in fund development content creation and maintains content calendar, including social media content, e-bulletins, newsletters, internal communications and other external departmental communications.
ii. Manages donor digital experience.
iii. Works directly with all Museum departments to collect and distribute content.
iv. Sends pledge and monthly giving renewal notices.
v. Assists Manager, Partnerships & Events and Manager, Grants with fulfillment reports.
**D. Performs other duties and reasonably assigned
- 10% of Time**
**MINIMUM REQUIRED QUALIFICATIONS**
**1.** **Skills, Ability and Knowledge**
i. Demonstrated expertise in donor CRM. Raiser’s Edge NXT would be an asset.
ii. Proficient in MS Word, MS Excel and PowerPoint.
iii. Working knowledge of Microsoft Outlook, One Drive and SharePoint.
iv. Excellent organizational skills and attention to detail.
v. Demonstrated ability to work within a team environment.
vi. Ability to work in a fast-paced environment and work effectively under pressure to meet deadlines.
vii. Ability to maintain a high level of confidentiality.
viii. Must be highly organized and capable of performing complex processes as well as continually re-evaluating priorities.
ix. Must have excellent communication skills, both verbal and written.
x. Ability to interact effectively and positively with the public and staff.
