**Administrative Technician - Absence Management**
**35 hours per week**

**NATURE OF THE WORK**
The principal and customary work of an employee in this class of employment consists in performing various technical tasks related to the management of human resources, development and implementation of standards and activities related to administrative operations. As part of his or her duties, the employee may assist professionals and senior staff.

**CHARACTERISTIC FUNCTIONS**

In the area of financial resources management, he or she prepares financial statements; makes accounting entries, transfers, reconciliations and so on; carries out technical analyses of accounts and reports; monitors transactions made by others, detects, and corrects errors. He or she collects, analyzes, and synthesizes the data required for preparing the budget; participates in preparing the budget; monitors the budget and analyzes certain entries; informs and assists the persons concerned so that they may adhere to the rules prescribed.

He or she may be required to respond to questions from auditors and to provide them with the necessary information and supporting documents.

He or she uses a computer and the necessary software to perform his or her duties. He or she conducts research on the Internet and may be required to assist a staff member with software specific to his or her work.

He or she may be required to train less experienced technicians as well as coordinate the work of support staff in performing dutie0s related to the implementation of programs involving technical operations for which he or she is responsible.

If need be, he or she performs any other related duty.

**REQUIRED QUALIFICATIONS**
Hold a Diploma of College Studies in Business Administration with an option appropriate for the class of employment or a diploma or an attestation of studies recognized as equivalent by the competent authority.

**BOARD REQUIREMENTS**
- Self-starter with excellent interpersonal and communication skills (written and verbal) with fluency in both official languages.
- Familiar with the CNESST, SAAQ, and IVAC laws, regulations, and procedures.
- Familiar with established Board policies, procedures, practices, rules, collective agreements, regulations, paperwork and able to interpret in these matters policies, regulations, and administrative procedures.
- Ability to adapt to change, manage and meet deadlines with strong analytical, critical thinking and problem resolution skills.
- Autonomous, with a strong sense of responsibility, organizational skills, and attention to detail
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to manage multiple projects and priorities, and to effectively communicate and train employees on safety procedures.
- Familiarity with absence management systems or HRIS (Human Resource Information Systems).
- Ability to address and resolve issues related to absence management, including discrepancies and policy interpretation.

**RESPONSIBILITIES**
- Ensure that absence management practices comply with school board policies, procedures, collective agreements, and relevant Quebec labor laws.
- Assist in implementing and enforcing absence management policies and procedures.
- Process absence requests and ensure they are in compliance with school board policies and collective agreements.
- Input and update absence data into administrative systems or databases.
- Ensure the accuracy and confidentiality of all records.
- Maintain and organize records related to employee absences, including medical certifications and leave requests.
- Monitor, track, and manage employee absences, including sick leave, personal leave, and other types of leave.
- Maintain accurate records and documentation.
- Prepare and generate reports on absence trends, patterns, and metrics for administrative review and decision-making.
- Coordinate OHS activities, and disseminate safety training modules and programs that meet legal requirements, company policies, procedures, and practices.
- Develop professional knowledge and, seek out best practices, tools and methods through collaboration with medical and legal advisors, experience sharing with other organizations (including school boards/centres service scolaire) and training courses.
- Assist and support the HR Coordinator on the safety and loss control aspects of the following HR/LR-related programs: Worker Compensation, Return-to-Work (Light / Modified Duty), Occupational Medical Evaluation and CNESST audit process activities.
