External Relations and Growth Coordinator (Part-Time)

**This is a part time position based on 20 hours per week.**

**Work Setting and Location** - This role is hybrid
- roughly 80% at home, and 20% in office.**

Role Purpose

As a key resource in the External Relations and Growth team, the External Relations and Growth Coordinator will maintain the integrity of the organization’s data through the effective use of Raiser's Edge and Microsoft Dynamics 365. The coordinator will liaise with team members to implement strategic priorities, conduct research, synthesize information, and prepare essential materials including briefing notes, meeting documents, and reports. This role entails scheduling meetings to discuss outcomes, documentation, and action items to ensure effective team collaboration.

Key Responsibilities

**Data Management and Hygiene**:

- Regularly clean and update Raiser's Edge and Microsoft Dynamics 365 database software to ensure accuracy and completeness.
- Create and implement protocols for data hygiene to maintain the integrity of the databases.
- Merge duplicate records and standardize data formats to streamline information.
- Support team members with client information entry

**Software Administration**:

- Provide technical support and training to staff on software usage and best practices.
- Generate regular and ad-hoc reports.
- Analyze data to extract insights and provide recommendations for enhancing Strategic priorities.
- Track and report key performance indicators (KPIs) to measure the success of the team.

**Administrative Support**:

- Assist in executing internal processes that promote cross-department coordination of reporting for partners and funders.
- Assist the External Relations and Growth team with the onboarding process for new hires.
- Maintain WBF’s database including account and contact profiles, meeting history, and feedback for effective reporting and planning purposes in partnership with other coordinators.
- Coordinate meetings, events, and other activities to support team objectives.
- Maintain organized records and documentation for easy reference.
- Handle general administrative tasks as needed to support the Director, External Relations and Growth and the External Relations and Growth Lead.
- Collaborate with IT and other internal departments to ensure seamless data integration across platforms.
- Maintain the division’s Conference and Event Listing tracking document
- Maintain financial reporting for the department as needed

**Continuous Improvement**:

- Stay informed on best practices in data management and fundraising software.
- Propose and implement improvements to data processes and systems to enhance efficiency.
- Participate in professional development opportunities to grow skills relevant to the role and the team.

Education & Experience
- A diploma or degree in Business, Communications, Public Relations, Journalism, Marketing, Fund Development or other applicable field, or equivalent experience.
- Proficiency in Raiser's Edge and Microsoft Dynamics 365 is preferred.
- A minimum of 2 years of increasingly responsible experience in industry or the non-for-profit sector.
- Strong organizational, project management, or resource management skills.
- Advanced knowledge and established skillset with Microsoft suites, such as Word, Excel, and Powerpoint.
