**Executive Assistant, Vice Dean, Indigenous**:
**Primary Purpose**: To provide comprehensive executive support to the Vice-Dean Indigenous, College of Arts and Science, with emphasis on ensuring the smooth functioning of the Vice-Dean’s portfolio, including strategic Indigenous initiatives, Indigenous programs and operational issues of the Trish Monture Centre for Student Success.
**Nature of Work**: Reporting to and working closely with the Vice-Dean Indigenous, the Executive Assistant (EA) provides high quality, efficient executive support on all aspects of the Vice-Dean’s portfolio. Considerable discretion and compliance with privacy protocols is essential as this position is privy to sensitive, complex, and confidential information. This position requires a high level of integrity and independent judgment. The EA must deal with emerging and unpredictable events in a timely and sensitive manner, providing rapid and effective follow-up on messages and decisions.
The position requires a commitment to a high standard of service and continuous professional improvement. It requires the management of multiple complex projects and the ability to work under pressure, with mínimal supervision, in a fast-paced environment where there are continuous changes, shifting priorities, and frequent interruptions. Competing deadlines and multi-tasking are the norm, so the EA must be able to plan workflow to deal with details, deadlines, peak periods, and unexpected situations. Impact of error in this environment is high.
**Typical Duties/Accountabilities**:
- Communicates on behalf of the Vice-Dean with members of the university community and the public.
- Manages and supports special projects and events requiring coordination, research and analysis.
- Assists and effectively contributes to proposal writing for funding opportunities.
- Administers, supports and manages human resource processes within the Trish Monture Centre, working with confidential and sensitive information, providing background, research and administrative support for the Vice-Dean as required.
- As the first point of contact to the Vice-Dean, performs triage including assessing risk, responding to or referring/assigning a broad spectrum of people and issues across all levels of the College as appropriate.
- Ensures that the Vice-Dean is advised of emerging political and environmental issues or other matters that they need to be aware of or deal with as they arise in a timely and judiciously articulated fashion.
- Monitors and effectively manages budgets; priorities are appropriately determined, budget allocations, revenues and expenditures are administered effectively.
- Participates actively and effectively on several College committees and working groups as directed by the Vice-Deans.
- Develops collaborative professional working relationships, liaisons and partnerships with departments and administrative units both within and external to the College to provide accurate information, initiate planning, coordinate projects and resolve crises.
- Effectively represents the College, Dean’s Office and Trish Monture Centre’s interests in all contacts, ensuring the right tone and interest are projected at all times.
- Works with the Vice-Dean to identify, adopt, implement and monitor best practices in Indigenous programs and initiatives.
**Qualifications**:
**Education**: A recognized post-secondary diploma in office administration. A bachelor’s degree preferably with an Arts & Science background, or a graduate degree in a related field would be a strong asset. A combination of education and experience may be considered.
**Experience**: Minimum five years of progressively responsible experience working with senior administrative leadership on the management of highly complex projects, preferably in a University administration environment. Experience with University of Saskatchewan systems is an asset. A broad understanding of the University of Saskatchewan strategic directions; of research, scholarly and artistic work processes; and of university teaching and research cultures would be assets. Experience working with Indigenous people, communities and organizations is also an asset.

- Strong writing and communication skills and ability to communicate in a professional manner, are essential.
- Ability to develop and maintain relationships with a wide variety of individuals including students, staff, faculty and senior administrators.
- Ability to support senior level administrators and to work effectively with confidential and sensitive information is essential.
- An understanding of and familiarity with, the University environment and its policies and processes, including the nomenclature, regulations, governance, approval and administrative structures and processes, as well as the College governance structure.
