Located at Duke Point on Vancouver Island, DP World Nanaimo provides a fast, direct connection to and from DP World Vancouver. As Vancouver Island’s first lo-lo (load on/load off) container terminal, we offer exclusive access to the Vancouver Island market with efficient short-sea container shipping and break-bulk services.

DP World Nanaimo’s short-sea shipping is both cost-effective and environmentally-friendly. With two sailings per week on our 168 container-capacity barge, we provide an easy way for importers and exporters to extend their market reach while minimizing handling and drayage. Our Nanaimo team can handle a wide range of vessels. Our 2 berths offer accessibility for specialty barges as well as a berth for deep-sea vessels. With one gantry crane and one mobile harbor crane we have the capacity to handle containers, bulk, breakbulk, heavy lift and all types of project cargo. Strategically situated, DP World Nanaimo connects the growing Vancouver Island market to regional and global trade.

DP World Vancouver operates the Port of Nanaimo’s facilities, including the general cargo Duke Point facility and Assembly Wharf. Our Stevedoring Operations work with diverse cargo up and down the Island, providing excellent service and experience. Additionally, we have provided Vancouver Island’s first load-on/ load-off container service to and from the mainland out of Duke Point terminal.

**The Opportunity**

We are looking for a temporary Administrative Coordinator for a **24 months contract**, with a possibility of extending. As a member of the Operations team the Administrative Coordinator is responsible in assisting with the coordination of containers and other cargo, as well as providing office services by implementing administrative systems, procedures, policies and managing the day to day work that keeps an office running efficiently.

This role is located at the DP World Vancouver Duke Point office in Nanaimo and is scheduled to work during regular business hours.

**In this role, you will**:

- Provide analytical support for purposes such as data analysis, statistical reporting, benchmarking activities, developing and generating queries, preparing and compiling weekly and monthly reports and documents, summarizing information and identifying trends.
- Monitor and communicate information/changes to internal and external stakeholders; as well as examine information for errors and verify and confirm data accuracy against relevant documentation.
- Maintain office services by organizing/documenting office operations, safety bulletins, safety department stats and procedures, designing and maintaining filing systems, and coordinating supplies.
- Receive visitors, answer and direct calls, manage the call system, prepare for meetings; main point of contact for vendor communications such as cleaning, security, waste management, coffee supplies and equipment.
- Communicate with all required parties such as customers.
- Liaise with internal Operations staff, steamship lines, truckers, shippers, to coordinate the movement of containers via the import, export and delivery control functions, as well as respond to inquiries.
- Prepare, process and verify weekly union payroll, including data entry, reporting and respond to queries regarding any pay corrections.
- Source and coordinate purchases, enter purchase requisitions, process invoices and receive deliveries in the purchasing system in a timely manner.
- Other admin related tasks as required.

**What you bring to the role**:

- Experience in operations/and or logistics; experience specific to terminal operations is considered an asset.
- Exceptional communication, interpersonal and organizational skills.
- Proven ability to work well with all levels of internal management and staff as well as outside clients and vendors.
