Administrative Support Staff

We are a public accounting firm of 20 people located in north Mississauga. We are a very innovative Firm that has been cloud-based and paperless for over 10 years.
Our expectation is that the newest member of our office administration team will have strong computer skills and will work in the office full-time for the first 2-3 months while they learn the role and then shift to a 3 days in the office / 2 days working from home schedule.
**Responsibilities**
Key responsibilities include:
- Printing and assembly of client deliverables, in both paper and PDF formats. This includes financial statements, corporate, trust and personal tax returns as well as other correspondence.
- Filing of PDF copies of all outbound client deliverables in our digital document management system.
- Handling electronic traffic both in and out of the firm through our secure client portal, ShareFile and DocuSign.
- Daily scanning and filing of inbound correspondence.
- Shared responsibility for reception - screening incoming calls, logging inbound and outbound courier packages, making sure our meeting rooms are ready for client meetings at all times, as well as monitoring and managing meeting room bookings.
**Requirements**:
- Possess a strong client service focus and project an image of professionalism, integrity, tact and discretion.
- Excellent problem solving skills, including the ability to work independently or with staff and clients depending on the task at hand.
- A strong attention to detail with an ability to multi-task.
- A general comfort and familiarity with technology. If you are fearful of or hesitant around technology, this is not the position for you.
- Excellent written and verbal communication skills.
- Self-motivated, with a strong sense of pride in their work.
- Business attire.
**Experience and Education**
- A high school diploma is required. A post-secondary education is not required but would definitely be an asset.
- Minimum of 3 - 5 years’ experience in an office environment with proven skills in an administration support capacity.
- Strong technical skills in Microsoft Office (Outlook, Teams, Word and Excel)
- Prior experience with time and billing systems, CaseWare, TaxPrep, ShareFile, DocuSign, CCH iFirm, CCH Portal and CCH Document would definitely be beneficial but are not essential.
- Strong organizational skills including the ability to prioritize between tasks.
**Hours of Work**
- 40 hours per week, some overtime required in April each year.
- Hours of work 8:30am to 5 p.m. with flexibility to work occasional overtime when required.
- We work half days on Fridays during July and August
**Vacation**
- 3 weeks with two blackout periods, March 15th to April 30th and June 15th to June 30th.
- Our office is closed between Christmas and New Year’s each year. We pay staff for these days and they don’t count against their annual vacation entitlement.
**Remote Work arrangement**
- The opportunity to work from home will not be available during the above blackout periods or when covering for vacation time of other admin team members.
**Compensation**
- Salary is commensurate with experience plus bonus paid out May, typically 5-10% of annual salary, for full year, contingent on individual meeting their objectives and on Firm meeting objectives.
