How will you contribute to the team?
- Lead administrative staff by recruiting, selecting, orienting, and training employees; maintaining a safe and secure work environment; developing personal growth opportunities.
- Accomplish staff results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counselling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures.
- Determine performance ratings and merit distribution within the Performance and Merit Process.
- Achieve financial objectives by anticipating requirements; budget preparation and maintenance; scheduling expenditures; monitoring costs; analyzing variances.
- Approve timesheets, expense claims and leave requests.
- Maintain continuity among corporate, sector, division, and local work teams by documenting and communicating actions, irregularities, and continuing needs.
- Complete special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; monitoring results.
- Contribute to team effort by accomplishing related results as needed.
- Discreetly handle all confidential and personnel documents and information
- Under mínimal supervision and with confidentiality and diplomacy, accountable to perform and manage a variety of complex and demanding administrative support duties ensuring smooth and successful operation of the office. Anticipate and effectively work with conflicting and changing priorities, ensuring that deadlines, priorities and objectives are met.
- Using integrity, confidentiality and diplomacy; work/interact with all levels of management and staff - both internally and externally and customers/clients.
- Liaise with other SNC-Lavalin BU’s. Maintain good working relationships with their respective AA’s/EAA’s.
- Discreetly handle all confidential and personnel documents and information.
- Manage complex and conflicting schedules - using cooperation, prioritization, foresight and decision making skills.
- Coordinate internal and external meetings and events - using cooperation, prioritization, foresight and decision making skills. Provide and/or prepare required meeting material.
- Coordinate travel arrangements; provide necessary documents (flight itineraries, car/hotel arrangements, meeting itineraries, background/biographies, etc.), obtain Visas.
- Prepare expense reports ensuring accuracy and compliance to corporate policies, procedures and code of ethics.

- Timesheet administrator. Run weekly timesheet audit reports.
- Prepare daily packages - schedules, relative meeting material, etc.
- Maintain monthly safety meeting records and follow-up on any actions. Participate in workplace inspections as required.
- Respond appropriately to inquiries and make decisions when necessary.
- Undertake special assignments as required.

What will you contribute?
- Minimum of 7 years administrative experience
- Post-secondary education or related business diplomas/certificates
- Knowledge of Microsoft Word, PowerPoint, Excel, SharePoint, Oracle, Workday and Calendar
- Excellent verbal and written communication skills
