**Location**: Remote. The Event Coordinator will be required to attend the on-site event and in-person meetings in Metro Vancouver.

**Employment Type**: This is a temporary, part-time contract position funded by BC Fairs, Festivals, and Events (BCFFE), July 2024 - November 2026

**Event Overview**:
Yes Shef is an evening celebrating women in BC's hospitality community. Held at the Fairmont Pacific Rim on November 6, 2024, this event features tasting stations with dishes crafted by female-led teams, in collaboration with student apprentices. Leading winemakers, sommeliers, brewers, and bar professionals also showcase their creations.

**Position Summary**:
The Event Coordinator will plan, coordinate, and execute the Yes Shef event. This role involves working closely with WORTH Association, stakeholders, and volunteers to ensure success. Responsibilities include planning, budgeting, on-site execution, and post-event reporting. Strong organizational skills, attention to detail, and relationship-building are essential.

**Contract Details**:
This position is a limited term contract lasting for approximately 20 weeks, beginning in July 2024 and concluding at the end of November 2024. The total workload is approximately 300 hours, with varying weekly commitments and deliverables.

**Key Responsibilities**:
**Planning and Support**
- Develop and execute the event’s vision and goals
- Serve as the main contact for stakeholders and manage communications
- Chair the planning committee and host bi-weekly meetings
- Coordinate and manage volunteers and their activities
- Match culinary students with chefs and facilitate their communication

**Budget and Financial Management**
- Work towards financial goals and monitor the budget
- Set up and manage the online ticketing platform
- Review event-related invoices and communicate payables and receivables

**Partnerships**
- Identify and cultivate potential in-kind partners
- Support partnership efforts and manage database and agreements

**Marketing & Communications**
- Develop and manage the marketing plan to promote the event

**Venue**
- Liaise with the venue for event details, decor, and logistics
- Coordinate rentals, equipment, and materials
- Address venue-related concerns

**Onsite**
- Develop the event schedule and oversee setup and breakdown
- Manage on-site volunteers

**Post Event**
- Administer surveys and follow-up on receivables
- Prepare a comprehensive event report

**Skills and Competencies**:

- Formal training in Event Management, Hospitality, Business, or related field, or an equivalent combination of education and professional experience.
- A minimum of 3 years of event planning experience, preferably in non-profit or hospitality
- Exceptional organizational and project management skills
- Strong interpersonal and communication skills
- Proven budget management skills
- Proficiency in Google Workspace
- Knowledge of event logistics and marketing strategies
- Experience in volunteer management and/or team leadership
- Detail-oriented and quality-focused
- Ability to work independently and adapt to changing priorities
