**Job Title: Assistive Devices and Medical Equipment Coordinator**

**Job Summary**:
The Assistive Devices and Medical Equipment Coordinator plays a crucial role in managing and coordinating the delivery, procurement, invoicing, and inventory of medical equipment and assistive devices. This position involves working closely with clients, healthcare providers, insurance companies, law firms, and vendors to ensure seamless equipment delivery and service. Responsibilities include overseeing logistics, sourcing new suppliers, maintaining accurate records, and handling invoicing and payment collection. Familiarity with Motor Vehicle Accident (MVA) software will be required, and a valid driver’s license is necessary for this role.

**Key Responsibilities**:

- **Equipment Assembly and Delivery Coordination**:

- Assemble and prepare assistive devices and medical equipment for client use.
- Schedule and coordinate equipment deliveries with drivers, ensuring timely and accurate delivery to clients.
- Ensure proper setup and installation of equipment when necessary.
- **Procurement and Inventory Management**:

- Order medical equipment and supplies as needed, ensuring timely replenishment.
- Maintain accurate inventory records, track stock levels, and manage restocking processes.
- Identify and source new suppliers, negotiate pricing, and establish contracts with vendors.
- **Client and Provider Communication**:

- Act as the primary point of contact for clients, medical providers, insurance companies, and law firms regarding equipment needs and requirements.
- Ensure proper documentation and approval for equipment orders with insurance companies and legal representatives.
- Provide clients with clear instructions on equipment use and maintenance.
- **Vendor and Technician Coordination**:

- Identify, vet, and coordinate with vendors and technicians in various cities for equipment maintenance, repair, and delivery services.
- Monitor and manage relationships with external technicians and suppliers to ensure service quality.
- **Driver Scheduling**:

- Coordinate schedules for drivers delivering medical equipment to ensure timely and efficient delivery routes.
- Manage driver communication and resolve any scheduling or delivery issues promptly.
- **Invoicing and Payment Collection**:

- Generate and send invoices to clients, insurance companies, and law firms for equipment and services provided.
- Follow up on outstanding payments and ensure timely collection.
- Work closely with the finance team to ensure accurate billing and payment records.
- **Software and Compliance**:

- Learn and use Motor Vehicle Accident (MVA) related software for processing claims and managing related documentation.
- Ensure all equipment deliveries and orders comply with applicable regulations and insurance requirements.
- Maintain organized and detailed records of all orders, deliveries, inventory, and communications with clients and stakeholders.

**Qualifications**:

- High school diploma or equivalent (required); an associate's or bachelor’s degree in healthcare administration, logistics, or related field is a plus.
- Experience in medical equipment coordination, logistics, invoicing, or a related field.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work with multiple stakeholders including clients, healthcare providers, insurance companies, and vendors.
- Proficiency with inventory management software, invoicing systems, and MVA-related software (training will be provided).
- Valid driver’s license required.
- Problem-solving skills and ability to manage multiple tasks in a fast-paced environment.

**Preferred Skills**:

- Knowledge of medical equipment, assistive devices, and insurance protocols.
- Familiarity with sourcing vendors and managing external relationships.
- Experience coordinating driver schedules and managing logistics operations.
- Experience with billing, invoicing, and payment collection processes.

**Working Conditions**:

- Office environment with occasional warehouse or fieldwork for equipment assembly and delivery oversight.
- Some travel may be required for vendor visits or equipment delivery supervision.

This role is essential to providing clients with the necessary assistive devices and medical equipment while ensuring efficient coordination of logistics, invoicing, and vendor relationships.
