OVERVIEW
OPERATIONS SUPPORT
The BCMEA is recruiting for an Operations Support Coordinator within the Training, Safety & Recruitment department to support the operations of the department’s recruitment and training efforts.
CONTINUOUS IMPROVEMENT
This role is expected to regularly analyze the existing systems for continuous improvement to create efficiencies.
RESPONSIBILITIES
VETTING ANALYSIS
Analyze necessary data in Excel to determine the appropriate status for required employees. Learn and understand the meaning, usage, and importance of vetting columns used to determine an employee’s status.
DATA ENTRY
Data entry for all department related documentation and timely closing of records. Enter data into custom software.
DOCUMENTATION PREPARATION
Prepare correspondence, reports, and other documents.
PROCESS REIMBURSEMENTS
Process reimbursements for Occupational First Aid, caulk boots and tools.
FILE DIGITIZATION
Digitize training records and coordinate the transition hard copies to external storage facility.
TRAINING RECORDS
Update longshore training records (“ratings”) and capabilities in a timely manner.
SUBMIT PAYROLL
Process and submit payroll data to ADP for Longshore trainers and trainees.
DATA REQUESTS
Lookup and share time sensitive, required data within Excel for employees upon request.
TRACK TRAINING PROGRAMS
Schedule and track training programs.
CLAIMS CORRESPONDENCE
Provide claims support with correspondence to WorkSafe BC.
OPERATIONS
Assist with the operations, coordination, and logístical efforts of special projects, as required.
**REQUIREMENTS**:
ORGANIZATIONAL SKILLS
Strong organization skills and attention to detail; ability to multitask and adapt to change. Superior time management skills and ability to prioritize and meet deadlines.
WORK STYLE
Capable of working independently with mínimal supervision and collaboratively as a member of a team.
YEARS OF EXPERIENCE
Minimum 1-2 year of work-related office or administrative experience preferred.
CRITIAL THINKER
A critical thinker, ability to discern and resolve issues.
DEGREE
Bachelor of Commerce / Arts or similar degree in a related field preferred.
COMMUNICATION
Self-starter with excellent verbal and written communication skills.
