JOB SUMMARY
ORGANIZATIONAL STATUS
The UBC Faculty of Medicine Department of Surgery educates students at the undergraduate, graduate and postgraduate levels, and pursues research to make innovative advancements in knowledge and practice to improve health. The Department consists of more than 600 physicians, surgeons, scientists and educators and over 70 administrative, research and technical staff, distributed across British Columbia. There are nine divisions in the following specialties: Cardiac Surgery, General Surgery, Neurosurgery, Otolaryngology, Pediatric Surgery, Plastic Surgery, Radiation Oncology, Thoracic Surgery and Vascular Surgery. The Department is also home to the Branch for Global Surgical Care (BGSC).
The Research Manager reports to Dr. Peter Kim. The incumbent work closely with UBC faculty members, Department of Surgery administrative staff, trainees, funders, VCH/PHSA healthcare staffs and research staffs. Additionally, the incumbent works with research teams in other disciplines and those from collaborating centres such as BCCA, other hospitals in BC, other academic institutions and their affiliated hospitals.
WORK PERFORMED
Manages a variety of initiatives for the overall research management including clinical trials for three research units: Surgical Oncology, Hepatopancreatobiliary, Minimally Invasive Surgery.
Manages contracts and data sharing agreements with sponsors and/or collaborating sites.
Manages and oversees research grants and trainee fellowships to ensure funds are used in accordance with budget and policies and within funding periods.
Prepares budget forecasts, budget estimates for grants, financial reports and other required financial documents for accounts within UBC and PHSA. Resolves any financial issues or problems that may arise.
Advises and provides training on a variety of UBC policies and procedures to PIs, research team members and trainees.
In collaboration with the PIs, develops, facilitates and implements research project designs, goals, and timelines. Establishes workflows and standard operating procedures related to research logistics, document management, and follow-up activities.
Develops and manages research administrative workflows for the PIs to ensure smooth operations.
Manages on-boarding and off-boarding procedures for coop students, Research Assistants, and trainees.
Trains and provides supervision to research team members.
Manages research ethics and databases. Oversees the accurate preparation and release of data to investigators for research. Ensures accurate and detailed research and data records are created, implemented and maintained.
Coordinates the acquisition of research data from multiple sources and individuals.
Coordinates the tracking of research progress according to project plans, and assists PIs to identify, problem solve and remove barriers to successful research project completion.
Monitors and communicates research project status by providing up-to-date financial statements and milestone progress reports to stakeholders.
Organizes and leads all research meetings (research unit meetings and project-specific meetings), manages agenda, minute recording and follow up on action items.
Coordinates the strategic development of knowledge translation activities, including patient engagement events.
Seeks, develops, leads and monitors initiatives to promote equity, diversity and inclusion.
Provides guidance and training regarding UBC financial procedures.
Contributes to a respectful, inclusive working environment.
