**Job Summary**:This individual plays a vital role in the day-to-day operations of the clinic as you are the face of the clinic. As the medical office assistant, this individual is required to provide essential support to the clinic by phoning patients with test results, ordering drugs and supplies for the clinic, answering phones, sorting through faxes, being a liaison between other clinics, and support the doctor with various office tasks. This individual provides professional administrative support to patients, management and physicians, and ensures services are provided in an effective and efficient manner. Primary emphasis is placed upon delivering exceptional customer service in a busy office environment.

**Education and Experience**:
1. High-school diploma at a minimum

2. Medical office assistant certification preferred

3. Basic typing, English, and mathematical skills.

4. Experience in a medical office is preferred.

5. Management of multiple projects simultaneously.

**RESPONSIBILITIES**:
**1. Telephones**

a. Answers inbound telephone calls and routes to appropriate station where applicable

b. Processes telephone calls regarding appointments.

c. Transfers calls requesting medical advice, prescription refills or surgery information to the medical office assistant.

d. Transfers calls from physicians to the doctor they have requested or to the doctor who is presently on call.

e. Call patient with test results and book next appointments

f. Call patients about surgical information

g. Provides accurate messaging documentation all other calls.

**2. Ordering supplies**

a. Ordering drugs and communicating with pharmacy to ensure the clinic has the right supplies.

b. Ordering from various vendors to ensure that the office is fully stocked

**3. Faxes**

a. Going through the fax to look for referrals and inputting information into patients’ charts

b. Updating patient charts with new information from the faxes

c. Informing the physician of any test results or lab results that come in

d. Send referral faxes to the office manager to triage

**4. Patients**

a. Check-in and check-out patients on a daily basis

b. Intercepts patients upon discharge from treatment areas.

c. Schedule patients’ next appointments and reschedule appointments as needed.

d. Escorts patient to appropriate area if additional treatment has been ordered; checks that patient has signed consents prior to treatment.

e. Ensure all necessary information has been recorded for each patient; obtains any additional information needed before patients depart.

f. Requests payments, creates invoices and provides receipts.

g. Create requisitions to hospital for treatment.

**5. Reception Room**

a. Rotates magazines from drop areas back to the reception room.

b. Picks up anything left behind by patients (empty cups, crushed tissues, etc.).

c. Straightens and replaces chairs to original positions.

**6.** **Other**

a. Assists ophthalmic technicians as time and demand require.

b. Checks stock and completes purchase orders when necessary.

c. Calling other clinics and being a liaison between physicians as needed

d. Takes minutes at all staff meetings.

e. Files paper and charts as needed.

f. Recalls patients.
