**JOB DESCRIPTION**

**Post Secondary Coordinator**

**SUMMARY**:The Post Secondary Coordinator is directly responsible for all aspects of the Zagime Anishinabek Post Secondary Program to ensure the program is operated in an efficient and timely manner to ensure service delivery is met. He/She will ensure service delivery is provided by way of financial assistance for post secondary education to eligible Zagime Anishinabek students living on and off-reserve, in accordance with the chief and councils approved budget, written guidelines or policies which are formally defined and made available to registered members.

**DUTIES AND RESPONSIBILITIES**:

- Ensuring and maintaining all Post Secondary files for all former and current Post Secondary students, including those who are on the waiting list.
- Maintaining and organizing resource material and statistical records for pertaining to the Post Secondary Program.
- Responding to all enquiries and dissemination of information pertaining to the Post Secondary Program.
- Maintaining a liaison with the Post Secondary clientele with appropriate monitoring documentation to be placed on file.
- Preparing and presenting a monthly report/enrollment summary to the Education Committee.
- Preparing the annual Post Secondary operating budget.
- Preparing, presenting and obtaining approval by the Education Committee and Chief and Council for all Post Secondary Student Allowance and Student Program funding.
- Prepare and submit all the Post Secondary monthly financial paylists and documentation for the Director of Operations approval, to submit to the Finance Department in a timely and efficient manner for processing.
- Ensure all program policies and procedures are adopted and amended according to the protocol of the First Nations (student ratification, Committee, C&C)
- Ensure that there is an adopted, established procedure in place for all appeals/grievances is followed.
- Must ensure the submission of all statistical data reports for Post Secondary Census Report are completed and submitted in a timely, accurate and efficient manner to the Indian and Northern Affairs of Canada November 1st census date and final deadline date of December 1st.
- Completing referrals to other Education funding agencies.
- Responsible for maintaining an effective working relationship with Universities, Technical Institutes, Community College and Professional Associations.
- Any other such duties as assigned by the Director of Operations.

**QUALIFICATIONS**:

- Must possess considerable knowledge of effective office procedures, techniques, and file maintenance and data processing potentials.
- Should have Post Secondary training in Administration and/or a combination of education and related experience.
- Must possess the ability to type a minimum of 30 w.p.m. with basic understanding of how to operate a PC computer and applicable software.
- Must be familiar with various office equipment such as a phone system, fax machine, photocopier, and any other equipment necessary.
- Must be able to maintain the Post Secondary filing system.
- Must have sound knowledge of how a First Nation Post Secondary Program is operated, according to the funding agreement.
- Must have excellent communication skills to deal effectively with the public, Chief & Council, subsidiary external and internal entities, fellow employees, and most importantly the general membership.
- Must posses the ability to take direction and work with minimum supervision.
- Must be well organized, punctual, dependable, reliable, and ensure that confidential matters remain confidential.
- Must be able to complete and submit the required reports necessary for the successful operation of the Zagime Anishinabek Post Secondary Program, in a timely and efficient manner and must possess the ability to work under pressure to meet deadlines.
- Must posses a valid drivers license and dependable vehicle.
- Must be willing to submit to a pre-employment drug screening.
