DUTIES AND RESPONSIBILITIES:

- Lead and manage small-scale initiatives, ensuring successful planning, execution, and completion within defined timelines and budgets.
- Support the PM with planning of project meetings including creating agendas and presentations, scheduling meetings, and taking meeting minutes.
- Maintain project documentation, including project charters, project plans, communication plans, meeting minutes, evaluation plans, sustainability plans, and progress reports.
- Communicate project updates to team members, stakeholders, and management.
- Follow-up with stakeholders to ensure completion of deliverables are tracking towards deadlines.
- Monitor project budget and provide regular updates to stakeholders.
- Collaborate with cross-functional teams to ensure effective communication and alignment.
- Support with change management activities on large organizational change initiatives. Ensuring objectives are met on time and on budget by increasing employee adoption and usage.

Monitor the progress and quality of work associated with project deliverables; developing and maintaining accurate project documentation; monitor and control

project scope, budget, and schedule; and performing other duties consistent within the project needs of the portfolio.
- Assist in post-project evaluations and lessons learned sessions to enhance future processes.
- Support the preparation of project-related presentations, reports, and documents.
- Maintain strong relationships with key stakeholder groups including clinical and administration team members.
- Perform administrative responsibilities to ensure the efficient and effective operation of the division.

DUTIES AND RESPONSIBILITIES - GENERAL
- Participate in ongoing internal and/or external continuing education activities.
- Participate in proactive Health and Safety activities while performing all duties.
- Maintain confidentiality of client and corporate information.
- Complete all other tasks as required.

REPORTING RELATIONSHIPS

The Project Coordinator within the Integrated Care Solutions division will report directly to the Project Manager.

Job Qualification

Education
- Post-secondary education in a relevant field of study (project management, business administration, health management/administration, quality improvement etc.).
- Certification or progressions towards certification as a Project Management Professional (PMP), Portfolio Management Professional (PfMP), or Program Management Professional (PgMP) is an asset.
- Certification in quality improvement methodologies (i.e. Lean Six Sigma) or working towards certification is considered an asset.

Experience
- 2 to 3 years of related practical working experience in project management and/or quality improvement.
- Technical experience in a project coordination/management capacity for small, medium, and large projects.
- Relevant working experience in a healthcare setting is an asset.
- Experience managing a variety of stakeholders, including clinical and administrative team members.

Other Skills and Abilities
- Proficient computer skills with a strong working knowledge of the following programs: MS Word, Excel, PowerPoint, Project, and Visio.
- Proficiency of other project management tools and systems is an asset.
- Demonstrated knowledge of project management, quality improvement, and change management tools.
- Demonstrated ability to analyze and present information clearly and professionally to various stakeholders.
- Demonstrated decision making, problem recognition, resolution, and reporting skills, to quickly identify and manage emerging project issues or risks.
- Demonstrated leadership skills to build, develop, motivate, and work as a part of multi-disciplinary teams.
- Strong interpersonal, oral, and written communication skills to build partnerships and effective working relationships.
- Strong analytical and time management skills and the ability to prioritize tasks.
- The ability to work independently and as part of a team.
- Comfortable in times of change, adapting to moving targets and competing priorities.
- Looks for opportunities to improve services, process, and efficiency to meet and exceed the needs of our clients and internal team.
- Valid driver’s license and willingness to undertake out-of-town travel as required.
