Part-time Client Care Specialist

We are hiring a part-time **Client Care Specialist **for our psychotherapy and neurofeedback clinic. This role will report to the Clinic Operations Manager. **NuVista Mental Health **(formerly Toronto Neurofeedback and Psychotherapy Centre), in partnership with True North Psychological Services, is a 7,000 sq. ft. clinic with 17 treatment rooms located at Bloor and Islington. We offer psychotherapy and assessments to individuals, couples, adolescents, and children. We also offer cutting-edge neurofeedback treatment and qEEG brain-mapping as well as an ADHD coaching program for parents and children.
This position will work:
Monday 12pm-8pm
Tuesday 10am-6pm
Wednesday 12pm-8pm
with additional hours, as needed, for clinic coverage.

- Provide front desk support for the clinic and assist our intake team with client consult calls and therapist matching

- Possess 2-3 years of experience in client care and customer service, preferably in a medical office environment
- Knowledge of Jane App scheduling software is an asset
- Support other administrative and clinic duties, as needed
**Responsibilities**:
- Manage day-to-day operations of the physical office space, be the welcoming face of the clinic when clients check-in for their appointments
- Provide ongoing support and leadership within a busy multi-disciplinary clinic
- Organize office operations and procedures
- Supporting 60+ clinicians with client bookings, payments, administrating intake and consent forms, room bookings, etc.
- Providing high level of support for staff members and visitors to the office
- Collecting fees directly from clients, verifying relevant coverage, and following through on any missed payments or billing issues
- Fielding phone calls and inquires in a timely manner
- Maintaining a clean and tidy reception area
- Data entry and filing as required
- Other tasks required, as needed
