Job Description - Receptionist/Customer Service
Reporting to the Office Manager/ Operations Manager
We are seeking a friendly, organized, and proactive individual to join our team as a Customer Service/Receptionist. We are in Markham Ontario. This position is in the office Monday - Friday, 8:30-4:30 daily. Reporting to the Office Manager and Operations Manager, you will be directed by the Office Manager. You must be highly organized with 5 years of administrative/customer service experience. You are a multitasker that can be relied upon to complete tasks efficiently and accurately. Attention to detail and being highly organized, you must have extensive experience with Microsoft Office including Excel and Word. Experience with Microsoft Business Central is an asset. You will be the first point of contact for our customers, providing excellent customer service. You will handle inquiries, manage communications, and coordinate with various departments to create a positive experience for our customers. This role requires a strong team player with excellent interpersonal skills.
**Key Responsibilities**:
- **Learning our company Inventory/Invoicing software so that you can assist customers with inquiries**
- **Look up and send tracking information to customers as requested**
- **Order entry and order amendment**
- **Prepare invoices and take customer payments through Business central**
- **Assist with accounts receivable issues to ensure timely payment of invoices**
- **Answer incoming calls in a timely manner and take accurate messages as needed**
- **Handle customer inquiries, resolve complaints and ensure customer satisfaction**
- **Return calls to customers to answer questions**
- **Send a daily report of the day’s activities to the Office Manager**
- **Enter all incoming warranty units into the Work order system**
- **File all Sales orders as required**
- **Perform any other duties assigned to keep the office running**
- **Ability and willingness to take on administrative responsibilities as required**
- **Willingness to assist in other departments as necessary, including helping warehouse staff with picking and shipping of goods and all tasks as directed by warehouse manager.**
**Job Types**: Full-time, Permanent
Pay: $50,000.00-$55,000.00 per year
