**Key Responsibilities**
- Create, update, and maintain a comprehensive document management system for construction projects, including both electronic and physical records.
- Facilitate the efficient retrieval of project documents for internal and external stakeholders, ensuring that they have access to the most current and accurate information.
- Manage document version control to ensure that project teams are working with the latest versions of drawings, specifications, contracts, and other critical documents.
- Control the distribution of project documents, ensuring that they reach the relevant parties and are appropriately reviewed, approved, and filed.
- Perform regular quality checks on project documents to verify accuracy, consistency, and compliance with industry standards and company protocols.
- Oversee the process of converting hard-copy documents to digital formats and maintaining digital records in an organized manner.
- Manage document changes and updates by tracking and documenting revisions, ensuring that relevant parties are informed, and maintaining historical records.
- Ensure the security, confidentiality, and integrity of project documents, especially sensitive or proprietary information.
- Organize and manage the archiving of completed project documents, complying with legal and regulatory requirements for document retention.
- Utilize document control software and tools to streamline document management processes and maintain records in an accessible and orderly manner.
- Provide training and support to project teams, subcontractors, and other relevant parties to ensure they are aware of and adhere to document control procedures.
- Prepare and provide regular document control reports to project management and stakeholders, highlighting key milestones, variances, and potential issues.
**Key Qualifications/Requirements**
- Bachelor's degree in construction management, business, or a related field (or equivalent experience).
- Previous experience in document control or a related role within the construction industry.
- Excellent organizational and attention-to-detail skills.
- Strong communication and problem-solving abilities.
- Knowledge of construction processes, terminology, and document types.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team.
- Analytical and critical-thinking abilities.
- Commitment to meeting project goals and deadlines.
- Ethical and dependable with a focus on maintaining document integrity and confidentiality.
