**Administrative Sales Assistant**

**About Dîner en Blanc International**

**Position**

The Administrative Sales Assistant will help the Business Development Manager with tasks related to identifying new teams and cities (clients) through strategic partnerships and leads. They will also play a key role in the company by providing day-to-day administrative assistance to the CEO.

Availability: Immediately - Full-time

Annual Salary: $40,000 - $43,000

Location: Downtown Montreal, in-person

**Administrative Assistant Job Description**

Sales-Specific Duties
- Manage contact lists, client documents (CVs, forms), confidentiality agreements, contract details and renewals (calendar/deadlines), etc.
- Schedule and facilitate client calls with Business Development Manager
- Request and follow-up on e-signatures and deposits from clients
- Assist with outreach research in designated markets
- Research and create basic presentations and reports

General Administrative Duties
- Organize and maintain documents in electronic filing systems
- Receive, sort and distribute the paper mail
- Manage conference calls, meetings, and appointments
- Manage and coordinate translation and other subcontractor requests as needed
- Research special projects, collect data
- Book travel accommodations, couriers, etc.
- Take and distribute Team Meeting minutes weekly
- Maintain up-to-date employee records (NDAs, vacation requests, WFH)
- Assist in hiring employees, onboarding, offboarding
- Renew and maintain company domain names
- Submit expense reports
- Assist CEO with administrative and select personal tasks
- Order office supplies; maintain inventory; anticipating needed supplies; verifying receipt
- Coordinate repairs to office equipment
- Ensure a good customer relationship and image of the company
- Greet and assist visitors to the office

**Education, Skills, and Experience Required**
- Bilingual (excellent English & French) spoken and written. (Spanish, or Chinese are an asset)
- Proficient in Office, Google docs, quick learner of computer programs
- Bachelors in business administration or a Degree in administration or a minimum of 3 years experience in a similar position
- Attention to detail and problem solving skills
- Sales experience is an asset
- Knowledge of office management systems and procedures
- Excellent organization skills, time management, and ability to multi-task
- Excellent written and verbal communication skills
- Takes initiative

Pay: $40,000.00-$43,000.00 per year

Schedule:

- Monday to Friday

**Education**:

- Bachelor's Degree (preferred)

**Experience**:
