Executive Assistant

**What is the opportunity?**

As an Executive Assistant/Office Manager, you will provide high-level executive support to the EVP & Chief Marketing Officer that involves confidential & high-level information. This is a diverse, hands-on role which requires professionalism, interpersonal skills, energy and attention to detail. You will provide administrative support for the day-to day office management.

**What will you do?**
- Provide executive administrative and operational support to the office of the EVP & CMO involves diversified and confidential handling of information that demands a high degree of accuracy
- Represent the department professionally and effectively when interfacing with external leaders and partners in the advertising, sports and entertainment sectors
- Manage executive calendars and complex schedules, including schedule changes and updates and travel arrangements
- Interact with the CEO & GE member offices on a regular basis ensuring their requirements are met quickly and efficiently
- Process invoices and expense reports in a timely fashion
- Examine and approve expense reports of senior management team on behalf of the EVP & Chief Marketing Officer ensuring charges adhere to RBC’s policy
- Act as a liaison with Corporate Real Estate with regards to office floor management
- Working with the Events team, provide administrative support for the yearly BMCC Conference as well as Bi-monthly BMCC One Team meetings and coordinating the Senior Management Team Strategic Planning Sessions
- Provide general oversight to ensure efficiency of office functions

**What do you need to succeed?**

**Must-have**
- Minimum of 10 years of related experience working with C-Level or Senior Executives (Vice President & above)
- Excellent verbal and written communication skills; strong proofreading and editing skills
- Excellent interpersonal skills, diplomacy, tact, positive can-do attitude Outstanding time management and proven ability to pivot/adjust to changing priorities
- Highly proficient in Outlook, Microsoft Office, including Word, Excel & PowerPoint

**Nice-to-have**
- A proactive, collaborative mindset and demonstrated capacity to work independently and within a team environment
- Good judgment and capable of acting independently and comfortable with some degree of ambiguity
- Ability to think beyond the task to the overall project objectives and improve processes, where possible
