**National Account Coordinator**
We are hiring a **National Account Coordinator **to coordinate the programs within the **ServiceMaster Canada Clean** division and manage the day-to-day operations of servicing the National Accounts. The role involves significant daily communication and collaboration with various teams including but not limited to our subcontractors, to plan, schedule and execute the installation/completion of projects within the required time frames and within stipulated budgets. Effectiveness, efficiency, excellence in customer service are the precursors for success in this position..
**What you will do**:
**Operations and Administrative Support**:
- Recording meeting minutes
- Franchisee support and Sub-contractor liaison
- Monthly revenue reporting
- Operations activity reporting
**Co-ordinating Meetings**:
- Plan meeting for small to mid sized trainings/meetings
- Budgeting
- Set up and run onsite meetings
- Create and format meeting documents, reports, and presentations
- Venue selection and bookings
- Participant/attendee co-ordination, invoicing, and expense reimbursements
- Catering details
**Account Administration**
- Create Corrigo report templates for customer revenue reporting
- Creating and uploading programs into Corrigo for automatic monthly work order dispatch
- Creating customer account with sites, locations and space set up in Corrigo
- Working with franchisees and subcontractors to generate quote
- Create positive process flow by ensuring the execution of services regarding logistics are coordinated from the customer through to the service provider
- Ensure customer feedback is communicated to vendor(s) and provide resolution plans/strategies to ensure positive experience in future interactions
- Ensure customer protocols for access to sites are communicated and adhered to by providers
- Collaborate with Sales to provide customers with quotations and ensure vendors have the correct scope of services and pricing
- Train franchise employees how to utilize CorrigoPro for Work Order (WO) processing and invoicing
- Onboarding new vendors, creating their Corrigo Enterprise profile and ensuring their information is accurate and integrates into our accounting system
- Subcontractor vetting, onboarding, and execution to ensure national customer service coverage
- Ensure compliance with all customer profile requirements
- Assist with preparing desk procedures for program/platform training
**Reporting**
- Create template reports for customer payment and billing
- Prepare annual sales revenue reports for customer spending
- National Accounts specific monthly reporting to Accounting Department
- Revenue growth and analysis reports
- Monthly cost accruals for accurate P&L analysis
- Annual franchise review of revenue generated from National Accounts to franchise network
- Annual NA account reporting for P&L
**National account specific duties**:
- Work with Accounting team to develop processes to ensure proper program integration and accounting accuracy
- Use customer invoicing platforms for invoice submissions
- Ariba
- Coupa
- Corrigo Pro
- ServiceChannel
- Excel formatted mass uploads templates
- RBC
- National Account expense reconciliations
- Ensure vendor invoice submissions align with proper supporting documentation for payment processing
- Working to ensure that national accounts receivables are less than 10% over 30 days
- Work with customers to get their account reinstated if suspended
- Help franchisees with reconciliations of their national accounting when there are discrepancies
- Monthly communication reminders for vendor invoice submissions that are outstanding
- Administrative Support for RFP as needed.
