**Position Summary**
The Contract Executive Assistant (Maternity Leave Cover) position is a varied and challenging role, handling the President & Chief Operating Officer's daily business matters, as well as assisting in Sales and Human Resources activities.

**Organizational Relationship**

This position communicates with all levels in the Company to convey information under the direction of the President. Upon approval from the President this position will assist in other areas, on an as required basis.

**Responsibilities**

1) Maintains filing systems.

2) Handles maintains confidential information.

3) Arranges and coordinates travel arrangements for various Company employees.

4) Schedules and manages the President’s & Chief Operating Officer’s (COO) calendar.

5) Takes dictation and minutes and accurately enters data.

6) Performs business and miscellaneous errands.

7) Serves refreshments when the President or COO is hosting guests.

8) Prepares materials for meetings & compiles special reports, letters, and memos using various MS Office and MS Excel programs.

9) Screens all external calls for the President and pass them on or take message.

10) Manages and troubleshoots phone system: Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment.

11) Administration of petty cash.

12) Assists with document distribution for Human Resources and payroll department.

13) Assists with various Sales Administrative tasks (i.e. order entry, file management, quote files)

14) Other duties as assigned.

**Skills**:
MUST HAVE EXCELLENT ORGANIZATIONAL AND FILING (physical and digital)

**Qualifications**:
Minimum College or Masters Diploma in Business Administration.

Must have the ability to communicate effectively, both orally and in writing throughout the organization. Must have excellent attention to detail.

**Job Types**: Full-time, Fixed term contract
Contract length: 12-18 months

**Salary**: From $25.00 per hour
