**SCOPE**

Reporting directly to the Corporate Services Manager, this position divides their time between administration and community services. Depending upon the requirements, the exact schedule may be flexible, however the split of the workload is approximately 60% administration and 40% community services.

The Administration & Community Services Assistant is responsible for customer service, reception, and front-desk operations, as well as assisting with the administration of programs, events, and services, and facility bookings.

**REPONSIBILITIES**

**Reception &Administration**:

- Complete daily cash receipting procedures - receive and enter payments for utilities, taxes, bulk water, etc.
- Accounts payable data entry.
- Order office supplies and assist with mail management.
- Assist with bulk water station system maintenance.
- Assist with licenses and permits including data entry for permit tracking.
- Assist with facility management bookings.
- Assist with cemeteryadministration.
- Assist with website and social media updates and prepare the monthly newsletter.

**Community Services**:

- Assist with recreational and FCSS programs, events, and services including but not limited to program and event planning, preparation of program and event materials and supplies, volunteer coordination and support as required.
- Assist with the development of advertising, marketing, and promotional material for all recreation facilities and programming.
- Assist with arena ice rental bookings.
- Ability to work a varied schedule to assist with community programs and events including evenings and weekends depending on season and activities.
- Attendance at Community Services Advisory Board meetings may be required.

**KNOWLEDGE, SKILLS, AND PERSONAL ATTRIBUTES**

**Knowledge**
- Completion of high school diploma.
- Experience with Microsoft Office & other Accounting software is considered an asset.
- Valid Class 5 Drivers License.

**Skills**
- Excellent customer serviceskills.
- Exceptional organizational skills.
- Ability to carry out written or oral instructions and maintain accurate records as required.
- Excellent attention todetail.
- Ability to work in a team environment as well as independently.
- Excellent time management skills, ability to manage tasks and deadlines with frequent interruptions.
- Adaptable and willingness to learn.
- Previous events or programming experience would be an asset.
- Previous accounting/bookkeeping experience considered an asset.
- Ability to work on short notice is considered an asset.
