- JOB SUMMARY
- Reporting to the Administrator Seniors Central Support, the Seniors Central Support Assistant, provides administrative support to the Manager and team members, and also, is responsible for coordinating student placements within the Region’s 8 Long Term Care Homes and supporting the policy management system.
- EDUCATION- Post-secondary diploma in Office Administration or equivalent.
- Post-secondary diploma in Office Administration preferred.

KNOWLEDGE- Minimum 2 years experience in an administrative role.
- 2 years experience in the Long-term Care Sector preferred.

RESPONSIBILITIES
- Provides administrative support to the Manager, Central Support Services, and the Central Support Services team to schedule meetings, create draft agendas, and send out relevant file/materials.- Assist with the maintenance of materials and Sherpa sites, sending out reminders on action items related to those resources, such as reminders for policy updates, putting up notices, etc., and drafting notices, letters, memos, reports and other communication materials.
- Assist with record collection and retention, of staff training ensuring the PeopleSoft database is updated.
- Assist with and maintain online training systems, such as staff lists, updates and posting prepared materials.

Assists with student placements in the Region’s 8 long term care homes.- Data entry, filing, and storing of information on SHERPA sites related to the various training agencies and students to facilitate placement processes.

Assist with the events planning such as the monthly Seniors Services Orientation sessions, yearly mandatory training, and Leadership events
- Maintain division files, recording, indexing, filing, retrieving and archiving files for storage in accordance with corporate filing/records management protocols.- Ability to handle matters of a confidential nature. This includes recording Criminal Records Check and Vulnerable Sector documents for student placements.
- Maintains long-term care agreement/contract electronic files, coordinating contract management activities, such as proper distribution of the agreements and contracts.
- Maintains long-term care policies and procedures file and coordinates policy and procedure management activities, such as proper distribution of revised policies and proper collection of super-ceded policies.

SPECIAL REQUIREMENTS- In accordance with the Corporate Criminal Record Check Policy, the position requires the incumbent to undergo a Criminal Records Check and submit a Canadian Police Clearance Certificate.
