KEY FUNCTION:
REPORTING:
Under the general direction of the Coordinator, Medical Affairs.

DUTIES:

- Initiate and complete initial appointment and changes to privileges of professional staff including physicians, dentists, midwives and extended class nurses as required.
- Initiate and manage processes associated with three (3) month, six (6) month and first annual performance evaluations for professional staff.
- Maintain databases, training, onboarding information, credentials and nominal role files; provide relevant information to HSN programs, other hospitals and government agencies related to professional staff privileges as required.
- Facilitate exit process for medical staff, ensuring appropriate change in privileges are presented to the Credentials Committee, Medical Advisory Committee, and Board of Directors.
- In collaboration with appropriate department, coordinate and provide orientation, IT access, security identification and other access to HSN for medical staff.
- Ensure medical staff have completed legislative required self-learning packages with continued monitoring for expiration and renewal.
- Provide orientation to medical staff, including assigning pagers, scrubs, lockers, dictation, call rooms, ID card, parking information, HSN policies and procedures, appropriate Information Technology, access and training, assistance with community, hospital, and Ministry incentives.
- Support and advance the office social media strategy and internal web portal to reach prospective physicians.
- Conduct research, compile data for monthly and annual statistical reporting and update metrics.
- Develop and organize a variety of documents, including reports, spreadsheets, presentations and correspondence.
- Engage and collaborate with stakeholders across the organization to achieve required results.
- Adhere to HSN’s policies and procedures, Credentialed Professional Staff By-laws, Medical Staff Rules and Regulations, and the Public Hospital Act.
- Determine and align improvement projects aligned with HSN’s Strategic Plan; monitor and adjust to achieve annual goals.
- Initiate and manage processes associated with annual performance evaluations for professional staff.
- Act as a staff resource for the Medical Human Resources Planning Committee and Credentialing Committee, including preparing minutes, agendas, and ensuring follow-up actions.
- Act as a liaison and build partnerships with community services and partners as required.
- Coordinate interview process and supporting materials for potential recruits.
- Assist with the planning and coordination of HSN’s Board of Directors’ annual New Physician Welcome Reception.
- Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
- Educate and promote health, safety and wellness in the work place.
- Provide support and cross-coverage to team members as required.
- Represent the department or program on various committees and in meetings as required.
- Perform other duties as required.

QUALIFICATIONS

EDUCATION AND TRAINING:

- Minimum of a two (2) year Diploma in Business or Office Administration, from an accredited college.
- Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.

EXPERIENCE:

- Minimum of three (3) years’ experience working in an administrative support role within the last five (5) years, preferably in a health care environment.
- Experience working with credentialed professional staff is preferred.

KNOWLEDGE/SKILLS/ABILITIES:

- Demonstrated knowledge of professional staff credentialing and privileging processes.
- Demonstrated knowledge of the College of Physicians and Surgeons of Ontario (CPSO) pathways to physician licensure, the Canadian Medical Protective Association (CMPA), Ministry of Health and Long-term Care programs/funding (MOHLTC), and Public Hospitals Act.
- Demonstrated minimum typing speed of 40 words per minute.
- Demonstrated ability to independently identify issues, plan improvements, measure success and continue improvement.
- Demonstrated excellent computer skills with proficiency in Microsoft Office software (e.g. Word, Excel, Power Point and Outlook) and patient information systems.
- Demonstrated superior interpersonal and communication skills, both written and verbal.
- Demonstrated ability to manage routine correspondence, multiple tasks/projects, diversified workload and rapidly changing priorities and challenging deadlines.
