Located in Gunn, Alberta, the Lakeview Recovery Community supports men living with addiction on their journey to a sustainable recovery. We deliver a full continuum of addiction recovery support in a community environment, focusing on healing and personal growth. Our goal is that individuals leave Lakeview with the life skills, tools, and resources to maintain long-term wellness and sustain recovery and having nurtured healthy relationships with friends and family.

Reporting to the Director of Administration, the Administration Manager will oversee the administrative functions and manage the reception team at Lakeview Recovery Community. This role is crucial in ensuring smooth operations, exceptional client service, and efficient referral processes. The Administration Manager will work closely with the leadership team at Lakeview and other department heads to maintain a high standard of organizational effectiveness.

**Role-specific Accountabilities**

**Administrative Management**:

- Oversee the daily operations of the administrative and reception teams.
- Ensure all administrative activities align with the organization’s policies and goals.
- Manage scheduling, record keeping, and office supplies inventory.
- Implement and maintain efficient office systems and procedures.
- Assist Admissions & Relations Team with intake and assessment duties as needed.
- Assist Clinical Team with daily structure as needed.

**Team Leadership**:

- Supervise, train, and support receptionists and administrative staff.
- Conduct performance evaluations and provide ongoing feedback.
- Foster a nurturing workplace environment with adaptability, critical thinking, and a willingness to ask for support.

**Client Service**:

- Ensure reception staff provide exceptional customer service to clients, visitors, and stakeholders.
- Handle escalated client inquiries and concerns with professionalism and empathy.
- Maintain a welcoming and supportive atmosphere at the front desk and reception areas.

**Data Management**:

- Ensure accurate data entry and management of client information.
- Maintain confidentiality and compliance with all relevant privacy regulations.
- Generate and analyze reports to inform operational improvements.

**Qualifications**
- Bachelor’s degree in Business Administration, Health Administration, or a related field, is preferred.
- Minimum of 5 years of experience in administrative management, preferably in a healthcare or recovery setting.
- Proven experience in referral management or similar roles.
- Strong leadership and team management skills.
- Excellent organizational, multitasking, and problem-solving abilities.
- Exceptional interpersonal and communication skills.
- Proficiency in office management software and systems.
- Commitment to the mission of Lakeview Recovery Community and understanding of addiction recovery services.
- Successfully complete and pass a Vulnerable Persons Criminal Record Check prior to initiating employment.
